GENERAL STATEMENT OF DUTIES:
Provide support to Workers’ Compensation (WC) and Labor & Employment (L&E) practice group (PG) attorneys; coordinate the attorney(s) calendar(s); assign files; field numerous telephone calls; intake potential clients via telephone; type forms and prepare forms on a daily basis.
RESPONSIBILITIES:
1. Review new assignments, deadlines dates, and emails (including time sensitive emails) on a daily basis. Maintain client follow-up, if attorney is unavailable, and provide the client with options to meet with attorney at a later time.
2. Calendar deadline dates for time sensitive documents in both hard calendar and Microsoft Outlook calendar; follow-up with attorney(s) regarding the same.
3. Field numerous telephone calls from clients, carriers, and court personnel, to determine appropriate action by attorney and, if needed, take action.
4. Coordinate WC insurance defense carrier and client deposition dates with doctors and/or other law firms; schedule telephone conferences or office conferences with existing or potential clients.
5. Open new files, request conflict of interest checks of the firm’s internal records, and maintain all client and general files.
6. Preparation of legal documents, hearing reports, time sensitive appeal applications, rebuttals, including mandatory cover sheet, Memorandum of Law, Section 32 agreements, and client correspondence on a daily basis.
7. Operate ProLaw, Orion, Conference Call access line, ECF and NYSCEF filing systems, PACER system, NYSBA system, and CLE systems.
8. File documents with AAA, PERB, Division of Human Rights, and Supreme and Federal Courts.
9. Meet with existing and potential clients that arrive at our office, whether previously scheduled or unexpected. Make copies of any documents necessary and document information from existing or potential client to forward to attorney to follow-up.
10. If requested, enter attorney(s) time on a monthly or daily basis into our Orion billing entry system.
11. Provide legal assistance to co-workers in same PG, as needed.
SKILLS:
1. Working knowledge of Workers’ Compensation Board electronic case folder, highly preferred.
2. Experience completing WC forms and understanding of the filing processes/procedures, preferred.
3. Outstanding organizational skills and ability to multitask in a fast-paced work environment.
4. Knowledge of NYS Rules of Civil Procedure and NYS filing system within the Supreme Court (NYSCEF) and Federal Court (ECF) filing programs.
5. Excellent typing skills exhibiting proficiency in formatting correspondence and also in spelling, grammar, and proof reading.
6. Strong attention to detail, excellent accuracy, and ability to meet deadlines.
7. Ability to problem solve with disposition to connect relationally with claimants.
QUALIFICATIONS:
1. Notary Public License highly desired.
2. High school diploma required; AAS degree preferred.
