As the Officer Manager, you will have the opportunity to be a part of Engrain’s growth and dynamic environment. You’ll serve as the face of the company to employees and visitors and are responsible for maintaining office organization and efficiencies. As the first person with whom clients, prospects, and office guests will meet, one of their primary responsibilities is to ensure employees and guests feel welcomed and comfortable. 


What you’ll do...

  • Lead Engrain’s Engagement Committee to facilitate employee led events, includes budget tracking and logistics planning (including setup and breakdown)
  • Ensure the office remains tidy, professional and organized in appearance (includes facilitating the cleanliness of the kitchen/break areas, open/shared spaces, conference rooms)
  • Procure, track, and stock office supplies including: printer, kitchen, conference room, and general office supplies (includes some light errand running, as needed)
  • Manage office visitors by welcoming and directing guests 
  • Light errand running to acquire supplies for employee events and office/kitchen supplies and shipping logistics
  • Work with internal team members to assist with client events and meetings
  • Answer incoming phone calls and route to appropriate parties and includes phone system management
  • Act as the first point of contact for external vendors and property management as it relates to building maintenance issues, deliveries and equipment 
  • Act as first point of contact for employees as it relates to equipment, minor IT assistance and systems access 
  • Manage inter-office communication and welcome slides on digital signage, ensuring content is accurate and professional
  • Provide administrative support to HR Leadership through presentation preparations, data collection and proposals 
  • Configure office space for employees 
  • Develop and maintain a documented system of general office management policies and procedures
  • Manage office access and security by issuing and retrieving suite keys and access cards
  • Act as the sole liaison for Engrain’s property management company (including serving as the company fire warden and active shooter delegate)
  • Oversee creation, assignment, administration and structural organization of company’s internal company documentation platform (Notion)
Requirements


What you offer us…

  • High School Diploma or equivalent experience
  • 1-3 years of relevant working experience preferred related to office management, payroll processing, and/or human resources
  • Proactive, self-starter and solutions-oriented individual with a passion for troubleshooting and leaving things better than how you found them
  • Strong customer service skills and attention to detail
  • Intermediate Excel/spreadsheet skills
  • Able to thrive in a dynamic, fast-paced, and sometimes ambiguous environment  
  • Bonus if you have familiarity with a variety of office software: Google platform, Zoom administration, Asana

  • Salary Disclosure for Colorado: hourly rate of $26.00 - $31.25 per hour. Final offer amount is determined by factors including years and depth of candidate’s experience, certifications, and skill set alignment to the job requirements
