Candidates must live in Washington State and be able to work up to 2-4 days each week in foundry10’s Seattle office, which is located in the University District. Summary of Role


foundry10 is currently seeking a full-time Research Administrative Assistant to assist our Research Team across a variety of projects. In collaboration with Research Coordinators, they handle administrative research tasks (e.g., participant scheduling, organizing logistics of projects) to ensure that all interactions between the Research Team and others (e.g., research participants, foundry10 interest area teams who run programs for youth) are positive and productive. The Research Administrative Assistant will independently make decisions on a daily basis, addressing the best way to handle specific tasks; they also collaborate with other Research Team members to move forward logistics of research projects (e.g., advertising for research studies, participant recruitment). Additionally, this role will coordinate the Research Team internal processes such as meeting agendas, hiring, supporting research scholarship management as needed, managing the proposal review process for the Institutional Review Board (IRB), team budget tracking, and yearly team retreats. They will also assist the team by gathering information such as acquiring research articles and gathering information about journals and conferences. 


This is a full-time position with a salary range of $70,000 to $97,750, reporting to the Director of Research. 


Responsibilities

  • Support the Research Team in all team-level administrative tasks that include but is not limited to:
    • The organization of schedules
    • Coordinating meeting agendas (e.g., for Research team and IRB meetings)
    • Event planning and support (e.g., Research team on-site retreats)
    • Collecting and organizing team forms, project files, and documents; coordinating software purchasing and access
    • Purchasing and ordering supplies
  • Support the Director of Research in budget planning and management; complete budget tracking and reconciliation for all team transactions
  • Identify challenges and barriers to research project execution and create and maintain new systems and tools to address them (e.g., participant recruitment tools)
  • Help the Research Coordinators manage communication with participants through the foundry10 study management email account
  • Help arrange logistics for studies, including spaces, advertising, recruitment, and compensation
  • Work with HR to coordinate Research Team hiring processes and manage onboarding for new team members
  • Provide support for finding interns, contractors, etc. to fill in gaps in Research Team needs
  • Participate in relevant team meetings, discussions, and goal-setting
  • Acquire research articles, work on literature reviews, and provide organization for Research Team articles
  • Gather background information on journals and conferences, and assist with peer-reviewed journal submissions
  • Work with Sharing Team to make sure ongoing research and team news are represented on the website
  • Manage the maintenance and utility of the Research Team’s project management, project updates and metrics tracking, and collaboration tools (i.e., Monday.com workspace; Zotero)
  • Coordinate with other foundry10 staff members and teams on behalf of the Research Team
  • Not an exhaustive list, other duties may be assigned as necessary
Requirements


 Education and Experience

  • At least 2 years of experience as an administrative assistant in a research or education setting is required
  • Associate’s or Bachelor’s degree in a field related to education, social sciences, or child development preferred

Skills, Abilities, and Knowledge

  • Outstanding written and verbal communication skills
  • Ability to work self-sufficiently and identify areas where processes could be improved 
  • Ability to collaborate with colleagues both on and off the research team to move projects forward
  • Ability to find, evaluate and summarize academic articles 
  • Ability to manage time and track several project timelines at once
  • Familiarity with process / project management tools and resources (e.g., Monday.com, Asana, Trello)
  • Experience using Google Suite and other online communication tools (e.g., Slack, Zoom)
  • Experience with logistics and scheduling
  • Experience with basic research functions
