Position Summary

The Audit Team Operations Lead is responsible for providing exceptional client and customer service while serving as a knowledge expert for the Audit Processing staff. This role involves frontline people management, training, and ensuring that all processes adhere to established guidelines. The Audit Team Operations Lead supports the Operations Manager in all regions across Vital Chart, ensuring efficient workflows, maintaining productivity, and fostering a positive work environment. Additionally, this role involves assisting leadership with departmental or regional projects and participating in the new hire process, client meetings, and staff development.

Key Responsibilities

Leadership & Team Management

  • Lead, train, and motivate a growing team of audit processors to achieve success.
  • Oversee and manage team workflow, ensuring timely and accurate processing of requests.
  • Handle escalated situations, providing resolution and maintaining a positive team environment.
  • Manage audit teams, prioritize incoming requests, and allocate resources based on operational needs.
  • Lead specific client audit locations, planning for fluctuating needs and managing relationships with clients.

Client & Stakeholder Collaboration

  • Communicate and collaborate with leadership on operational issues, challenges, and opportunities.
  • Serve as the main point of contact for escalated calls from centralized call centers.
  • Coordinate with location and client management to address complex issues, building and maintaining strong relationships.
  • Present new ideas, process improvement suggestions, and feedback to internal stakeholders and clients.

Operational Support

  • Review audit data, provide actionable insights, and recommend solutions to leadership.
  • Participate in project teams and committees aimed at advancing operational strategies and initiatives.
  • Assist in the planning, development, and implementation of departmental or regional projects.
  • Support the new hire process by assisting with interviews and onboarding for the audit processing team.


Requirements

Qualifications

  • 1-2 years of experience in Health Information Management or Release of Information (ROI).
  • Strong understanding of HIPAA standards and the ability to handle sensitive medical records in compliance with regulations.
  • Demonstrated leadership philosophy focused on servant leadership and team support.
  • Experience in remote team management, with the ability to maintain team morale and productivity in a virtual environment.
  • Skilled in presenting to leadership, clients, and team members, both via video conferencing and in person.
  • Detail-oriented and committed to delivering accurate, compliant medical record information.
  • Proficiency in Power BI, Microsoft Office Suite, and experience with various Electronic Medical Record (EMR) systems.

Preferred Qualifications

  • Experience with diverse EMR systems.
  • Previous experience in a production/metrics-based work environment.
  • Proven ability to build teams and foster career growth for individuals.
