Provides high-level, confidential administrative support to the President and CEO/General Counsel. This role involves managing various executive and administrative tasks to ensure the day-to-day operations run smoothly. Additionally, responsible for all administrative communication with the governing Board.
- Provides administrative support to the President and the CEO/General Counsel.
- Maintains calendars, email correspondence, answers and screens phone calls, and schedules meetings as needed or requested.
- Coordinates correspondence on behalf of the President for special events.
- Manages annual committee appointment process, communicates nomination deadlines, and informs members of their selection.
- Manages and coordinates regular meetings of the KFB Board of Directors and the KFB Foundation Board of Directors in consultation with the Secretary, including required notices, meeting minutes, digital communication, meeting materials, committee meetings, and hotel and meal reservations.
- Reports and requests payment of board per diems, monitors and approves monthly board expense and credit card reports.
- Tracks, submits and manages expense reimbursements from outside organizations in relation to the President and respective board members registrations and travel expenses.
- Coordinates KFB Award Committee meetings, notifies winners, and manages the award presentation process at the KFB Annual Meeting.
- Manages notices for the KFB Annual Meeting, coordinating deadlines with County Farm Bureaus and staff, as well as preparing voting delegate information and business session documents per the organization by-laws.
- Manages KFB Foundation grant awards and events in coordination with foundation staff.
- Assists in planning and execution of special events, meetings, meals, etc. as needed.
- Serves as point of contact for meeting space inquiries related to KFB.
- Manages the KFB fleet vehicles such as purchasing vehicles, obtaining vehicle insurance, scheduling vehicle maintenance, registrations and tags, and monthly mileage logs.
- Coordinates company travel, flight and hotel arrangements, and conference registrations.
- Oversees the President’s residence, including bill payment, and maintenance as needed.
- May assist other divisions as needed.
- Performs other duties as assigned.
Education and Experience
- Bachelor’s degree or equivalent work experience of 2-5 years providing support at the executive level.
- Must be a self-starter, organizer, and possess the ability to effectively interact with others.
- High level of integrity and proven ability to meet deadlines.
- Excellent organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Proficient analytical skills and the ability to make logical decisions in support of the organization's philosophy and direction.
- Must possess excellent interpersonal relationship skills and be able to relate well with others.
- Prefer background or familiarity in the agricultural industry.

Relationships
- Communicates with the Board of Directors, all levels of KFB staff, county Farm Bureau leaders and members, outside business relationships and governmental agencies.
- Works daily with the President and the CEO & General Counsel to accomplish organizational priorities.
- Works with KFB Leadership, Division Directors, and Field Services Managers to seek continuous improvement of the organization.
- Has frequent contact with the KFB President, State Board Members, County Leaders, and Members.
Physical Requirements
Ability to operate voice telephone, computer, and other office equipment. Requires in-state and out-of-state travel. Must maintain a valid driver’s license. Other current office activity includes walking, standing, and sitting. Must be able to work outside of normal office hours. May require the ability to load and unload materials. Regular attendance (as defined by the Employee Handbook) is a function of the job.
