Position Overview:
The Senior Payroll Specialist is responsible for managing all aspects of payroll processing for unionized and non-union employees. This role ensures the smooth and efficient daily operations of payroll for our union groups and compliance with union contracts, applicable laws, and organizational policies. The ideal candidate will have extensive experience in payroll systems, strong analytical skills, and the ability to collaborate effectively.
Key Responsibilities:
• Ensure the accurate processing and recording of all company payrolls.
• Process payroll for unionized and non-union employees accurately and on time, including adjustments for hours worked, overtime, and deductions.
• Interpret and apply collective bargaining agreements to ensure compliance with wage scales, benefits, and union regulations.
• Collaborate with HR and finance departments to reconcile payroll discrepancies and provide reporting on payroll metrics.
• Maintain accurate payroll records, ensuring data integrity and confidentiality.
• Respond to inquiries from employees and management regarding payroll issues and concerns.
• Ensure compliance with federal, state, and local payroll laws and regulations.
• Conduct regular audits of payroll processes and data to identify and resolve issues proactively.
• Stay current on industry trends, best practices, and changes in legislation affecting payroll and labor relations.
• Possess extensive knowledge of union payroll, including scale wages, deductions, and benefit calculations.
• Stay current with union agreements and rates.
• Maintain the Union Wage Package Comparison spreadsheet and update it as needed.
• Adjust rates and recalculate deductions as required for any out-of-jurisdiction work.
• Assist with monthly union fringe reporting.
• Support annual audits of the trust funds.
• Research and resolve any discrepancies related to trust fund payments.
• Perform other duties as assigned by the supervisor.
Qualifications:
• Bachelor’s degree in finance, Accounting, Human Resources, or a related field preferred.
• 5+ years of payroll experience, with a focus on union payroll processes. Previous payroll experience in a union environment is a must.
• Strong knowledge of payroll software required (e.g., Paylocity, Paycom, ADP, Paychex)
• Experience with Paylocity is a plus.
• In-depth understanding of collective bargaining agreements and labor laws.
• Excellent analytical, problem-solving, and strong organizational skills.
• Strong attention to detail and ability to maintain confidentiality.
• Experience with Microsoft Excel and Teams is essential.
• Effective verbal and written communication and interpersonal skills, with experience collaborating with diverse teams.
Salary Range: $75,000 - $85,000 annually
