Job Description
Summary/objective
The Administrative Assistant is responsible for providing high-level administrative support to the Executive Director and other senior staff.
Essential functions

- Provides high-level administrative support and assistance to the Executive Director and/or other assigned leadership staff.
- Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, birthday lists, anniversary lists, and other documents.
- Plans office parties.
- Arranges travel and accommodations.
- Oversees certifications, registrations, and contracts.
- Schedules and sets up meetings including refreshments and food orders.
- Receives incoming communication or memos on behalf of senior staff, reviews contents,
- Performs office tasks including maintaining records, ordering supplies, mail, and coordinating office cleaning.
- Prepares, posts, verifies, and records client payments and transactions related to accounts receivable
- Receives and verifies expense reports; reconciles expense and other financial reports with account balances and other office records.
- Other duties as directed.

No supervisory responsibilities.
Work environment
Flexible work environment with core business hours.
Physical demands
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.

Required education and experience
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to function well in a high-paced and at times stressful environment.
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
- Able to type minimum of 50 words per minute.
- Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software

- Prior administrative and accounting experience
