Accountable for the management of the organizations' facilities within a specified region. Oversees facilities vendor relationships needed to ensure all facilities are maintained and functioning properly to enhance the appearance and productivity of the credit union. This includes oversight of building renovations, equipment needs and maintenance, grounds and building maintenance, obtaining contract bids, and overall efficient use of facilities. Partners with facilities vendors to maximize areas of expertise and develop efficiencies beneficial to the overall credit union. Major Duties and Responsibilities

  • Works closely with the Physical Security Coordinator to ensure buildings, areas and grounds are safe for employees and visitors including placement of security equipment in new or existing branch or ATM locations.
  • Develops and adheres to annual facilities budget. Creates detailed proposals for any new Facilities project over $1000 or when directed by the Director of Corporate Real Estate or the Assistant Manager of Corporate Real Estate.
  • Accountable for maintenance and overall upkeep of company vehicles. Maintain electronic record of all vehicle maintenance.
  • Maintains adequate inventory of maintenance products used in all buildings.
  • Monitors facilities ticket system for all other Advia managed properties and provide dispatch services for assisting other locations with facility issues. Position may require some regional travel for quarterly property assessments and special projects.
  • Monitors and ensures contractor compliance for contracts including but not limited to landscape, janitorial, HVAC, carpet, elevator and snow removal. Coordinates and tracks contracts for janitorial, grounds maintenance and waste disposal at all branches. Prepares bid specifications and oversees the implementation contract. Maintains a file of vendors for all facility related functions. Maintains service level agreements (SLA) for janitorial, landscaping and snow removal vendors. Manage building preventative maintenance schedules. May also perform minor repairs as needed including but not limited to: plumbing, wallpaper, painting, light bulbs, and minor irrigation repairs.
  • Oversees all facility maintenance to include plumbing, electrical, HVAC, telephone, lighting, drive-up systems, sound/music, power generation and back-up, structural, roof, paint, elevator, appliances, including the purchase of new or replacement equipment. Electronically tracks all issues and actions taken.
  • Must comply with applicable laws and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control. Additionally, all employees must follow policies and procedures to minimize risk by exercising judgment, raising questions to management, and adhering to policy guidelines.
Requirements

Experience

A minimum of one year up to three years of similar or related experience, including preparatory experience.


Education/Certification/Licenses

A high school degree or equivalent. State approved driver's license is required.


Other Skills

Knowledge of janitorial equipment and maintenance procedures. Basic understanding of blueprints and the operation of electrical, mechanical, heating, cooling and plumbing equipment. Good mechanical and problem-solving abilities. Well organized and able to work independently. Able to coordinate well with others and professionally assist members as needed. Attentive to detail. Able to operate drills, electrical tools, meters, timers, hand tools and all related machinery. Able to use computer and read email regularly.


Interpersonal Skills

A significant level of trust, credibility and diplomacy is required. In-depth dialogue, conversations and explanations with customers, direct and indirect reports and outside vendors can be of a sensitive and/or highly confidential nature. Communications may involve motivating, influencing, educating and/or advising others on matters of significance. Typically includes subject matter experts as well as first level to middle managers.


Physical Requirements

Perform primarily sedentary work with limited physical exertion and occasional lifting of up to 10 lbs. Must be capable of climbing / descending stairs in emergency situation. Must be able to operate routine office equipment including telephone, copier, facsimile, and calculator. Must be able to routinely perform work on computer for an average of 6-8 hours per day, when necessary. Must be able to work extended hours whenever required or requested by management. Must be capable of regular, reliable and timely attendance.


Working Conditions

Must be able to routinely perform work indoors in climate-controlled shared work area with minimal noise.
