Summary


The Recruiting Coordinator will provide support for the recruitment life cycle by ensuring smooth operations and coordination of all recruitment-related activities. You will work closely with recruiters, hiring managers, and candidates to ensure a positive experience throughout the hiring process. This role is pivotal in creating a seamless, high-touch recruitment process that aligns with our company values. 


Responsibilities

 

Scheduling and Coordination:

  • Coordinate and schedule interviews, including phone, video, and on-site interviews, ensuring a smooth and positive experience for both candidates and interviewers in a fast paced environment.
  • Arrange travel and accommodations for candidates as needed.
  • Manage and update interview calendars and track hiring timelines in ATS and Google Calendar.

Candidate Communication:

  • Act as a point of contact for candidates throughout the interview process, providing timely updates and answering questions.
  • Send and collect necessary documents from candidates, such as applications, interview feedback, and background check information.

Administrative Support:

  • Assist recruiters in posting job ads, maintaining candidate tracking, metrics and reporting
  • Maintain and update candidate tracking systems and databases (ATS), ensuring accurate data entry and reporting.

Process Improvement:

  • Collaborate with the recruitment team to identify opportunities to streamline and improve recruitment processes.
  • Assist in employer branding efforts (social, job fairs, recruiting events, etc.) 

Compliance:

  • Ensure all candidate information and recruitment activities comply with company policies and relevant laws, including EEOC guidelines.
  • Performs other duties as assigned.

Required Skills 

  • 3-5  years of experience in a recruiting coordinator, HR assistant, or related administrative role.
  • Familiarity with applicant tracking systems (ATS) and HRIS platforms; experience with Greenhouse, Paylocity, and Lattice platforms are a plus. 
  • Strong organizational skills with attention to detail and the ability to handle multiple tasks simultaneously.
  • Excellent verbal and written communication skills.
  • A positive, can-do attitude.
  • Ability to work in a fast-paced, dynamic environment and adapt to changing priorities.
  • Ability to work consistently across multiple time zones, if applicable

Preferred Qualifications  

  • Proficient in Google Suite

Education

  • Bachelor's degree in Engineering or related field preferred
