Development and Events Coordinator

All Classical Radio seeks a dynamic, detail-oriented Development and Events Coordinator who will oversee scheduling and project supervision for volunteers, events, and community engagement initiatives. The Development and Events Coordinator position is responsible for coordinating the station’s robust schedule of community and donor events and organizing event/studio rentals; stewarding relationships with the organization’s volunteers and community advisors to help guide their volunteer schedules/work with the station. This position also participates in the day-to-day aspects of development and fundraising, and coordinates visiting performers and community partners as needed. 


The Coordinator will play an essential role in fulfilling All Classical Radio’s vision and initiatives as the coordinator and primary staff liaison for volunteers, and the central point of contact for events including station-hosted events, community engagement opportunities, and rentals of the station’s facilities. In collaboration with Development, Operations, and Marketing, this role will support outreach, including identifying opportunities to maximize the use of the space, which may include performances, donor and community events, live broadcasts, recording sessions, and more. The ideal candidate must be a highly organized, motivated self-starter who can both lead and collaborate with diverse stakeholders. The Coordinator’s day-to-day development and fundraising tasks will include, but are not limited to, donor correspondence, mailings and materials preparation, donation and data entry, and on-air fundraiser support. The successful Coordinator will bring excellent communication and customer service skills and enjoy working with a highly functioning team of exceptional colleagues. 


This is an in-person / in office position which will require some early morning, evening, and weekend hours.

Pay is competitive and dependent upon qualifications and experience. The expected salary range is $20.68/hr - $24.33/hr. This position is covered by a collective bargaining agreement.

Requirements

Event Coordination and Oversight (40%)

1. In collaboration with the Development, Operations and Marketing departments, supports the identification of and outreach for event opportunities to maximize the use of the space.  

2. Schedules, organizes, and oversees all events in All Classical Radio’s performance space at KOIN Tower including both station-hosted and rental events. Including but not limited to:

  • Field and manage rental inquiries and present recommended schedule to management on a regular basis.
  • Act as primary liaison with renters, including but not limited to: providing and collecting required documentation; establishing preparation and event schedules; submitting renter needs/request to appropriate department heads; providing contacts to marketing/development team for promotion as needed.
  • Maintain internal events calendar of station spaces including staffing requirements.
  • Establish and oversee checklist for event preparation, production, and cleanup including volunteer and staff requirements, timelines, and debrief protocols.
  • Communicate any special event needs to department leads as required (e.g. extra security, special accommodations for accessibility, vendors to contact, etc.).
  • Coordinate event volunteers including scheduling and orientation. 
  • Ensure that all spaces are clean and functional before and after events, and liaise with management if cleaning, support, or repair is required.
  • Organize all aspects of each event including but not limited to catering, technology requirements, staffing, set up, building requirements, RSVPs, nametags, etc.

Volunteer Coordination and Oversight (35%)

1. Oversee all volunteer scheduling including front desk staffing.

2. Maintain accurate volunteer records including but not limited to:

  • Routinely verifying accuracy of all contact information
  • Entering skills, interests, and contact history in donor and/or volunteer database
  • Keeping electronic and paper copies of volunteer paperwork
  • Reporting on volunteer hours by project as requested by management

3. In collaboration with Management and Community Engagement team, establish and carry out volunteer recruitment activities such as:

  • Surveying staff routinely for volunteer needs/opportunities
  • Identifying and recommending recruitment opportunities
  • Screening and interviewing new volunteers identified through recruitment or unsolicited inquiries

4. Onboard and train volunteers, including:

  • Facilitate background checks for all new volunteers
  • Communicate organizational policies and collect and catalog necessary paperwork
  • Execute training and re-trainings for regular volunteer duties including reception, event duties, donor support, administrative filing, shredding, inventory, etc.
  • Maintain all volunteer training materials (e.g. handbooks, SOPs).

5. Maintain working knowledge of all key volunteer tasks and projects, and help to facilitate troubleshooting, re-trainings, meetings, and other support

6. Oversee Community Advisory Group including leading quarterly meetings, tracking attendance, recording and providing meeting notes, recruitment support, etc.


Community Engagement and Donor Support Assistance and Miscellaneous (25%)

  • Participate in donation processing/entry in database (volume varies seasonally).
  • Assist in donor acknowledgements as needed, including letter preparation. 
  • Field incoming listener and donor support phone calls and emails.
  • Participate in rotating on-call schedule, generally to include 4-6 weekend hours monthly dedicated to responding to listener/donor inquiries, and special projects as requested. 
  • Provide on-air fundraiser support, including morning, evening, and weekend hours.
  • With Marketing, oversee Gift Shop management, including merchandise inventories, sales assistance, and order fulfillment.
  • Periodically represent the station at external/community events.
  • Other duties as assigned.

Required Qualifications and Functions 

  • 21 years or older and able to obtain and maintain an OLCC server’s card
  • A minimum of three years of professional experience working with diverse communities in public facing, customer service roles 
  • Demonstrated success in events scheduling and management
  • Experience scheduling and supervising volunteers
  • Ability to work both independently and collaboratively under deadline pressure
  • Ability to effectively lead team meetings
  • Professional, friendly, personable, and enthusiastic; a hard worker demonstrating reliability, creativity, and the ability to self-manage
  • Available and willing to work evenings and weekends as needed to successfully complete projects, coordinate events, and meet deadlines
  • Displays excellent written and verbal communication skills in working with coworkers, volunteers, customers, and contractors, including the ability to communicate effectively and remain calm and courteous under pressure, and confidence in conveying All Classical Radio’s value
  • Ability to prioritize multiple tasks, manage time and stress levels, adapt to shifting priorities, and proactively solve problems, while maintaining a positive attitude
  • Readily build and maintain positive relationships with sponsors and colleagues
  • Strong PC computer skills, including proficiency in Microsoft Office Suite programs (or similar)
  • Highly attentive to detail
  • Commitment to maintaining confidentiality as required in Company policies.
  • Consistently demonstrates regular and reliable attendance. 
  • Ability to work a full-time in person, in office position. 

Preferred Qualifications

  • College degree
  • Background in music and art is a plus
  • Familiarity and experience with one or more CRM/database systems
  • Familiarity with Adobe Creative Cloud tools
  • Knowledge/experience with marketing tools and practices is a plus, such as Wordpress web editing, graphic design, video/photography capture/editing, social media
  • Interest in and commitment to the core values of public service media 
  • Knowledge, love of, and excitement for classical music and the arts
