Tax/Payroll Administrator

Sigvaris is currently looking for a Tax/Payroll Administrator to work join in our Finance team at our facility in Peachtree City, GA.  As a leading compression solution provider, we are not just a company that manufactures products.  We are a global team on a mission to help people feel their best.  Reporting directly to the Controller, the Tax/Payroll Administrator is responsible in preparing and processing payroll as well as performing general accounting functions related to payroll and 401k.  This position is responsible to ensure Sales and Use Tax compliance and state registration maintenance as well as assisting the Accounting team.  This position requires an extremely perceptive person who is capable of relating to individuals at all levels within the organization.


This position will start in the office full time until full training has been completed.  Then, it will become hybrid where you can work from home 2 days/week.  Days of working in the office can be flexible unless during the week that you have to run payroll.  Then, you'll be required to be in the office on Monday and Tuesday.


Hours can be:

  • 8:30 a.m. to 5 p.m. with 30 minutes lunch, or
  • 9 a.m. to 5:30 p.m. with 30 minutes lunch


DUTIES AND RESPONSIBILITIES:

     • Process time records and payroll. Compile payroll statistics and maintain payroll records.

          o Verify and seek appropriate documentation and approval from managers on time and attendance issues.

          o Work with and communicate to the Human Resources Department concerning payroll issues.

          o Research and answer employee inquiries related to payroll and time and attendance.

          o Transmit direct deposit files in a timely manner as required by our banking institution.

          o Transmit debit card issue files in a timely manner as required by our banking institution.

          o Print payroll reports and maintain payroll files in accordance with established company guidelines.

          o Prepare monthly payroll accruals and journal entries.

          o Process garnishments and respond to courts within required time frame.

          o Prepare and reconcile monthly Headcount report.

          o Reconcile and file payroll taxes as required.

          o Issue annual W-2 and related documents within IRS guidelines.

     • 401k Plan:

          o Coordinate with management and the Plan record keepers to manage contributions, reporting, and authorized withdrawals.

          o Assist with annual adult and statutory fillings.

          o Attend 401k committee meetings if needed.

     • General accounting functions:

          o Prepare payroll related journal entries.

          o Assist in other accounting functions related to payroll and 401k.

     • Files Sales and Use Tax returns in accordance with established guidelines.

     • Ensures Sales and Use Tax compliance with all regulatory agencies.

     • Files Sales and Use Tax monthly and quarterly returns in various states in accordance with established deadlines.

     • Keep abreast of and demonstrates thorough knowledge of all Sales and Use Tax rules and regulations.

     • Works with registered agents to keep States active.

     • Produces and maintains supporting documentation for monthly/quarterly returns.

     • Reviews Nexus Rules and changes in each state in order to ensure compliance in each state.

     • Fosters positive morale among staff, by promotion of open communication with all departments, to help create and maintain an innovative and cooperative staff relationship and environment.

          o Interacts with external and internal customers in a manner conducive to continued positive relationships.

     • Demonstrates effective communication methods.

          o Controller, COO, CEO and/or appropriate management staff are kept informed of developments affecting their functions.

          o Responds quickly to all oral and written communications.

          o Maintains and encourages an open line of communication with both internal and external customers.

          o Checks and responds to voice mail messages in a timely manner.

          o Accurately and legibly presents written data to affected internal/external customer.

     • Follows established company policies and procedures to ensure compliance with industry standards, current ISO requirements, Federal, State and local laws.

     • Follows all work instructions, creates and maintains accurate records to meet all internal and external requirements to support the SIGVARIS Quality System and Quality Policy.

     • Accurately performs any other duties and responsibilities as assigned to ensure an efficient workflow.

Requirements


EDUCATION and WORK EXPERIENCE:

     • An associate's or bachelor's degree in Accounting or related field.

     • A minimum of three (3) years of experience in processing a full cycle multi-state inhouse payroll in a mid-size company.

     • Knowledge of federal and multi-state wage and hour laws.

     • Demonstrated knowledge of sales tax rules and regulations, filing and maintenance.

     • Experience administering 401k.

PHYSICAL REQUIREMENTS:

This job operates in an office environment.  This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

     • Occasionally required to sit, walk, use hands, reach with hands and arms, speak, listen, bend, lift or climb.

     • Occasionally required to lift light weights (less than 25 pounds).

     • Finger dexterity and hand coordination required.

     • Specific vision abilities required for this job include: close vision, distance vision, ability to adjust or focus.
