General Statement of Duties

The Membership Coordinator is responsible for planning, administering, and assisting with all aspects of the General Membership efforts, including membership sales, fulfillment, member events, stewardship and data base management and integrity. Dedication to excellent customer service is an integral component of this position. This position recognizes the capacity to achieve greater results by integrating skilled volunteers and leveraging their diverse knowledge and abilities. The Membership Coordinator reports directly to the Senior Director Guest Engagement. 

Qualifications

  • College degree or a minimum of five years membership management or sales experience
  • Excellent organizational skills and attention to accuracy and detail with the ability to multi-task.
  • Outgoing personality who enjoys working with people and is committed to providing      exceptional customer service.
  • Non-profit experience is preferred.
  • Talent in developing sales plans and motivating staff towards a sales goal.
  • Creative problem solver. 
  • Able to maintain data base and track sales. 
  • Excellent written and verbal communication skills with a variety of constituents.
  • Proficiency in ALTRU, Constant Contact and Microsoft Office a must.
  • Works well with a team.
Requirements

  

Duties and Responsibilities

  • Be a positive, enthusiastic representative of the Virginia Living Museum.
  • Develop and implement new and existing membership drives for the acquisition of new      members, the renewal of current members, and the return of lapsed members.
  • Work with the Guest Engagement Director to set goals for membership drives.
  • Train & motivate the front desk staff to sell memberships and welcome museum members.
  • Supervise data entry.
  • Maintains the integrity of the ALTRU membership database.
  • Ensure that all renewals and new member’s applications purchased through mail, online,      phone and front desk are processed appropriately and within one week.
  • Administer all aspects of membership, including receipt and documentation of checks and credit cards, using ALTRU, and handling of ASTC reciprocal matters.
  • Update reciprocity agreements with ASTC and North Carolina Aquariums.
  • Plan and implement membership drives, benefits and promotions. 
  • Respond to telephone, email and in-person inquiries regarding membership.
  • Prepare and mail renewals & e-reminders on monthly schedule. Maintain USPS bulk mail account & procedures.
  • Provide the Guest Engagement Director with recommendations on budget, policy, and      procedures regarding memberships.
  • Create monthly reports on membership sales, renewals, lapses, etc.
  • Create & manage member only contests & drawings.
  • Develop relationships with members that promote long term partnerships. 
  • Maintain inventory of membership supplies, providing all membership materials for front desk staff.
  • Assist in design, coordination and updates to membership materials.
  • Write effective and creative copy and serve as a copy editor for membership and other communications.
  • Stay knowledgeable of museum and local events
  • Work with the Guest Engagement Director to ensure outgoing mail is posted and deliveries are accepted in a responsible manner. 
  • Update Constant Contact emails and unsubscribe list.
  • Provide member data for member newsletters. 
  • Engage and oversee volunteers in completion of duties.
  • Perform all other duties as assigned. 

Essential Job Requirements

  • Ability to work occasional evenings/weekends.
  • Must be able to hear and speak clearly.
  • Physical requirements include medium work, exerting up to 40 pounds of force occasionally, and/or up to 30 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.
  • Must be able stand for extended periods of time and move about on foot to accomplish tasks.
  • Must be able to stoop, kneel, crouch, crawl, reach, push, pull, lift, grasp, feel, and utilize repetitive motions.
  • Must have close visual acuity to operate a motor vehicle and perform activities such as: preparing and analyzing data, transcribing, viewing a computer,  and extensive reading.
  • The position is subject to environmental conditions for activities occurring indoors and outdoors.
