Role Description:
The Human Resources Assistant provides administrative support to the Human Resources Manager and assists in daily HR operations. This role is essential in helping maintain efficient and effective HR processes, including employee onboarding, record-keeping, recruitment assistance, and compliance. The ideal candidate will be detail-oriented, organized, and able to handle sensitive information with professionalism and confidentiality.
Responsibilities:
Administrative Support:
- Maintain the highest level of confidentiality regarding all Human Resources information and data.
- Maintain and organize employee records, including digital and physical files, ensuring data accuracy and compliance with legal requirements.
- Prepare HR documents, such as offer letters and onboarding tasks.
- Handle HR-related inquiries and requests from employees and external partners in a timely and professional manner.
Recruitment and Onboarding:
- Assist with recruitment efforts, including posting job openings, scheduling interviews as needed, and managing candidate communication.
- Support the onboarding process by preparing new hire paperwork and coordinating new hire orientations.
- Facilitate new employee onboarding, ensuring all forms, policies, and processes are completed accurately and timely.
Payroll and Benefits Support:
- Provide support with payroll processing tasks, including tracking employee time and attendance records.
- Assist with benefits administration, including responding to employee inquiries and helping to manage open enrollment.
Compliance and Policy Management:
- Help ensure compliance with state and federal regulations by maintaining and updating HR policies and procedures as needed.
- Participate in audits and record-keeping to support legal and regulatory requirements.
Employee Relations and Engagement:
- Coordinate employee engagement activities and assist in company events as directed by the HR Manager.
- Help distribute and track employee satisfaction surveys, as well as support employee feedback initiatives.
Other Duties as Assigned:
- Provide support for special HR projects and initiatives as needed.
Qualifications:
Education: High school diploma or equivalent required; Associate's or Bachelor's degree in Human Resources, Business Administration, or related field preferred.
Experience: 1-2 years of Human Resources or Administrative experience strongly preferred.
Skills and Competencies:
- Strong organizational and time-management skills.
- Excellent interpersonal and communication abilities.
- Ability to maintain confidentiality and handle sensitive information.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with HRIS (such as Paylocity) or ATS systems is a plus.
- Detail-oriented with strong problem-solving skills and an ability to work independently.
