Easterseals serving Chicagoland and Greater Rockford, is currently seeking an experienced Human Resources Professional with 2-4 years of relevant experience. The Human Resources (HR) Coordinator plays a crucial role in supporting HR functions and ensuring smooth operations within the HR department.
The HR Coordinator provides administrative support to the HR department, assists with the day-to-day operations, and helps ensure that HR procedures and policies are followed. They play a key role in employee onboarding, record-keeping, and employee relations, contributing to a positive workplace environment.
This position is located at the Easterseals Administrative Services at 1939 W. 13th Street, Chicago 60608.
MAJOR FUNCTIONS/ACCOUNTABILITIES:
1. Recruitment Support
- Assist with recruitment processes, including job postings, screening resumes, coordinating interviews, and communicating with candidates.
- Prepare job offer letters and assist with pre-employment checks.
2. Onboarding and Offboarding
- Coordinate new employee orientation and onboarding processes, ensuring all required paperwork is completed.
- Schedule exit interviews and manage the offboarding process to ensure compliance with organization policies.
3. Employee Records Management
- Maintain accurate and up-to-date employee records, including personal details, job roles, benefits, and attendance.
- Ensure compliance with data protection regulations when handling employee records.
- Provide support in the management of personnel files and records, ensuring confidentiality and contributing to systems and structures in HR.
4. HR Policy and Compliance
- Ensure that organizational policies and procedures are effectively communicated to employees via intranet, HRIS, email, etc.
- Assist in tracking and enforcing compliance with regulatory and company policies, such as attendance, leave policies and safety regulations.
5. Employee Relations
- Serve as a point of contact for employee questions regarding HR policies, benefits, and other HR-related matters.
- Assist with conflict resolution by documenting employee concerns and escalating to HR Business Partners as needed.
6. Benefit Administration Support
- Assist with benefits administration, including enrollment, changes, and answering benefits questions.
7. Performance Management Support
- Assist with tracking performance review cycles, coordinating evaluations and ensuring timely completion of performance-related documentation for each program.
- Support HR initiatives related to employee engagement, recognition, and development programs.
8. General Administrative Tasks
- Organize and maintain HR documents, prepare reports, and handle other administrative tasks as required.
- Coordinate HR events like training sessions, wellness initiatives, and organization-wide gatherings.
- Complete employment verifications and Public Service Loan Forgiveness as requested.
- Assist with processing and coding monthly invoices to ensure payment on time.
Education/Certification:
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- SPHR, PHR or CEBS preferred.
Experience Required:
- 2-4 years of related Human Resources or related administrative experience.
- Experience with a major payroll system (ADP, Paylocity, etc.).
Skills/Abilities:
- Strong understanding of confidentiality and sensitivity when handling employee information.
- Technologically adept, including comfort, familiarity, ability to learn and use a variety of computer applications, and ability to use internet browsers and video conferencing.
- Intermediate-level knowledge of Microsoft Word, PowerPoint, Teams, Outlook, SharePoint, and Excel.
- Excellent verbal/written/interpersonal communication skills, including presentation and facilitation skills.
- Ability to maintain an environment that fosters excellence in customer service.
- Ability to multi-task and prioritize effectively in a high stress environment.
- Familiarity with labor laws and compliance regulations.
- Ability to work within a culturally diverse environment.
