Job Purpose
The Grants Specialist supports Grants Administration and various departments throughout the grant lifecycle. This includes planning, monitoring, and reporting on government and private grants and grants to agencies. The specialist assists in executing the organization’s overall grant strategy.
Essential Job Functions
- Assists with grant research for grant opportunities
- Provides administrative assistance for the Grants Committee
- Gathers data to align with grant proposal and reporting
- Tracks internal and external grant requests to strategize and prioritize funding efforts
- Produces high-quality internal and external grant materials such as protocols, training documentation, etc.
- Ensures data integrity for all reporting measures and grant financial documents
- Works with various departments to assist with project and financial reporting to ensure full compliance with government and private grants
- Prepare reports for government and private grants
- Demonstrates a strong understanding of Three Square programs and departments
- Attends internal and external meetings to support grant needs and requirements
- Identifies gaps and provides solutions for Three Square’s internal grant process
- Proactively works within the Grants Administration department and interdepartmentally to resolve any issues that may arise throughout the grant process.
- Assists the Government Grants Manager with the preparation and submission of government reimbursements
- Provides support for grant administration and communication for internal and external grants.

Must possess outstanding communication skills with the ability to effectively communicate verbally and in writing. Ability to interpret and implement rules, regulations, policies and procedures. Ability to present and respond to questions and/or feedback from groups of program partners, funders, the general public, and leadership as needed. Must be able to exercise leadership in various external relationships. Requires the ability to respond in a timely manner to the needs and requests of others internally and externally, ability to determine tasks, set priorities and goals, manage multiple projects with high attention to detail, handle interruptions, maintain focus on tasks and produce accurate work. Requires the ability to work independently in the field without supervision and to solve practical problems and deal with a variety of variables in situations where and if limited standardization exists.
Work Environment
This position requires working indoors in an office at Three Square or at diverse community sites outside of Three Square. Employee will use computer and phones extensively and drive frequently for work. Occasionally work outside of normal working hours, such as evening or weekends is required. While performing the duties of this job, the employee is occasionally exposed to outside weather conditions.
Qualifications
Experience and Education
A Bachelor’s degree from an accredited four-year college or university is preferred. Two years previous experience in a non-profit, public health, or public administration sector is a plus, or any combination of education, training and experience that demonstrates the ability to perform the duties of the position.
Skills
Basic Skills: Critical thinking, basic math to include adding, subtracting, multiplication and division. Ability to read and comprehend instructions, correspondences and emails. Must possess strong attention to detail.
Social Skills: Actively listen to others and demonstrate understanding of other points of view. Consistently provide ideas, opinions, or information in an articulate, professional way. Must have ability to maintain constructive relationships, demonstrate respect for everyone and have experience working with diverse populations. Requires the ability diffuse situations before potential conflict arises, take initiative to identify and act on potential problems. Must have ability to deal constructively with conflict and resolve conflicts directly by actively promoting and gaining cooperation from others. Able to make consistent decisions that resolve problems appropriately. Must be able to effectively work in a team atmosphere.
Resource Management Skills: Excellent time management skills. Ability to set and meet deadlines, work independently and as part of the Three Square team.
Computer Skills: Proficient in Outlook and Windows based computer software, with an emphasis on spreadsheets, word processing and database management mandatory.
Other: Safe driving record, current vehicle insurance and the ability to use their personal vehicle for business at off-site locations. Employee must be able to pass a criminal background check and drug and alcohol screening.
