Position Summary: The Project Management Coordinator will play a pivotal role in advancing Futuro Health's mission by updating documentation and project plans related to the development and expansion of the organization and the allied health workforce. This position will support the organization’s project management office and collaborate closely with various internal teams to ensure the successful documentation of projects aimed at improving education, training, and retraining opportunities for allied health workers.

- Task Management Training: Track staff training needs for ClickUp project/task management software. Hold training sessions with new staff members, host office hours and answer follow-up questions.
- Workflow setup and training: Work with department managers to set up workflows and task tracking lists in ClickUp that meet their needs by bringing visibility and accountability to our internal processes.
- Project Management: Update project documentation, meeting notes, and ClickUp project plans to help grow the organization and the allied health workforce. Track and update internal projects as needed.
- Stakeholder Collaboration: Work closely with the Director of Project Management and cross-functional Project Managers to schedule meetings and facilitate effective communication throughout project lifecycles.
- Data Analysis: Collaborate with data analytics team to gather and analyze relevant data to achieve metrics in grant deliverables and report on the impact of initiatives on workforce growth. Correlate data and create graphs for use in internal and external reporting.
- Project Updates: Monitor project tasks and timelines, document timeline variances and reasons for change. Follow up with individual team members on project task updates and elevate concerns to Director of Project Management and/or Project Managers.
- Reporting: Prepare and update the weekly projects status report based on task updates. Ensure alignment between weekly project status report, project briefs and project plans. Assist Director of Project Management and/or Project Managers with closing of projects including retrospective documentation and project closeout reports.
- Continuous Improvement: Offer suggestions on how internal workflows and project processes could be more efficient and provide more visibility based on feedback from each department and team.
Qualifications:
- Strong understanding of equity, diversity, and inclusion in education and workforce development.
- Proficiency in project management tools and software. Experience utilizing ClickUp project management software is a plus.
- Proven experience coordinating large projects, teams, or events.
- Excellent communication, interpersonal, and leadership skills.
- Data-driven mindset with the ability to interpret and utilize data for decision-making.
- Working knowledge and proficiency with Microsoft Office Suite (Teams, Word, Outlook, Excel, PowerPoint), Power BI, Internet access, and databases.
Education: 1-3 years documented project or event coordination experience.
Supervisory Responsibility: This role does not have supervisory responsibility over other staff.
Work Environment/Travel: This is a remote role. Travel will also be required to attend meetings and conferences.
Physical Demands: Able to sit, stand, and type for long periods of time. Ability to work irregular hours including after hours and weekends although this will be infrequent. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
Position Type: This position is Full-Time, Non-Exempt. The hours may include weekends, nights and holidays.
