About the job:
This role is responsible for supporting Project Management and Strategy, Planning, and Partnership efforts at Sunward. The individual will be a key player in ensuring enterprise projects and initiatives are tracked and reported on in a timely and clear manner. In addition, this role will provide support to strategy, planning, and partnership efforts via coordination, scheduling, reporting, and analysis activities.
Essential Job Duties:
Planning and Strategy Responsibilities
- Building the planning timeline, reporting templates, and organizing and collating submitted reports and plans.
- Partnering with enterprise leaders to create, update and provide guidance on project reporting and planning.
- Conducting quality reviews on reporting and planning
- Providing analytical support to strategy and planning team as needed.
Project Management Responsibilities
- Tracking task completion, follow up as needed, and ensure stakeholders are informed of risks and issues.
- Coordinating project meetings, including preparing agendas and taking meeting notes.
- Assisting and advising in the development and implementation of project plans and schedules.
- Leading less complex short-term projects as needed.
- Identifying and mitigating potential risks and inner dependencies to project timelines and objectives.
Project Management Support Responsibilities
- Maintaining Enterprise project portfolio calendar and keep track of due dates, delivery dates, and status.
- Facilitating communication between project team members and stakeholders.
- Acting as back-up for project manager as needed.
- Maintaining project documentation, including contracts, reports, meeting minutes, and correspondence.
- Prepare monthly reports and update stakeholders on status, risks, and issues with key enterprise projects.
- Building reports in PowerPoint and Excel to inform executive leadership on project status.
- Analyzing project completion rates, project status, and project completion risks.
- Supporting project managers in delivering projects on time and within scope.
- Being the liaison with vendors and suppliers to ensure timely delivery of project materials.
Software Management
- Maintaining records in Enterprise project management database to ensure projects are tracked and reported as needed.
- Generating templates and reports to facilitate project tracking and reporting.
- Serving as the organization-wide training and familiarization resource for project management software (ClickUp).
- Performing other duties as assigned.
Required Skills/Abilities:
- Excellent interpersonal and negotiation skills, ability to motivate individuals, including senior leaders, throughout the organization.
- Strong proficiency with Microsoft Office applications, particularly Powerpoint and Excel.
- Strong proficiency with information technology, particularly digital means of communication.
- Strong organizational skills and attention to detail, with the ability to keep track of and manage multiple tasks and deadlines simultaneously in a fast-paced environment.
- Proficiency in project management software and tools (ClickUp), including the ability to train others and to generate custom reports and templates.
- Strong documentation and report writing skills.
- Strong self-motivation and drive, ability to self-determine priorities and responsibilities
Knowledge:
- Basic knowledge of project management methodologies (e.g., Agile, Waterfall)
- Basic understanding of project management principles and tactics.
Education and Experience:
- Minimum two years’ experience in finance, reporting, support functions or related roles
- Minimum bachelor’s degree in business or project management or related field; or more than two years of project management experience.
- CAPM certification preferred
Physical Requirements:
Prolonged periods of sitting at a desk and working on a computer.
Must be able to lift 20 pounds at times.
