This position reporting to the Warranty Manager, this position provides technical support services as they relate to warranty and service functions within well established and clearly defined policies and procedures.
Warranty Writer ensures that businesses are paid for all product maintenance parts or replacements covered under a warranty by organizing, processing and reviewing warranty claims made by the customers of the business. As the work on occasion involves dealing with fraudulent claims, the warranty clerk should have exceptionally high ethical standards
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES, include the following, other duties may be assigned.
- Detail oriented person to ensure accuracy when entering claim data
- File and organize new warranty claims files.
- Document and close our warranty claims with accounting.
- Provide all essential evidence to quantify the loss involved with a warranty claim, including such concerns as labor and material costs and repair costs.
- Coordinate with branch personnel to produce all appropriate supporting documents necessary to validate a claim.
- Ensure that Company obtains the maximum value from existing warranty plans.
- File, negotiate, and settle all warranty claims as appropriate.
- Classify all repair work order and parts spending to allow for further tracking and analysis.
- Ensure that all warranty paperwork is properly documented and that all verifying criteria needed by the factory/distributor are processed correctly.
- Process 3rd Party Billing (3PB) for PPS & PPG utilizing the commercial portals assigned to the customer account
- Track 3rd Party Billing issues in the company tracking system and assist with resolution in cooperation with the operating locations
- Keep abreast of all company announcements, especially factory recalls. The role involves working alongside the company's accounting department to obtain payments for warranty work. All customer and service records should be retained and organized neatly into a comprehensive filing system to ensure that the company maintains a good relationship with all clients and also to make certain that all payments sent and received are accounted for.
- Using the electronic network, review each claim for accuracy; verify that the unit and failure information provided are accurate and complete and that listed expenses for the claim are within published parameters.
- Correspond directly with the customer base using the electronic processing system and by phone or e-mail to get claim errors corrected and information clarified when required.
EDUCATION and/or EXPERIENCE
- High School Diploma and 3 or more years of directly related professional level cost control, warranty analysis experience in heavy duty transportation (Supplier or OEM).
- 2 or more years warranty administration direct experience in heavy duty transportation (Supplier, dealer or OEM).
SKILLS:
- Knowledge of heavy-duty transportation (Supplier, dealer or OEM) warranty system and risk management in manufacturing, dealer environment, claims processing.
- Self-starter who can work with minimal direct supervision.
- Flexibility to deal with constantly changing environments
- Ability to grasp and communicate complex information and relationships.
- Ability to read, analyzes, and interprets warranty reports.
- Ability to navigate Manufacture websites to file, correspond, and track warranty claims.
- Excellent verbal and written communication skills.
- Strong collaboration skills
- Excellent computer skills required (Windows, Explorer, Chrome, Outlook and Office 365 ).
- Excellent organizational skills.
- Advanced knowledge Microsoft Office programs (Word, PowerPoint, Excel), other PC applications, and our mainframe applications, IBM AS400 based web browser enhanced.
