We’re looking for a Marketing and Events Specialist who’s more than just organized—you’re a project management wizard. You’ll be at the heart of our event planning and marketing efforts, from community engagements to internal team gatherings. You’ll also manage incoming marketing requests, ensuring the right tasks are assigned to the right team members, all while keeping everything running on schedule.

What You’ll Be Doing: 


Event and Project Management (50%) 

  • Plan & Organize: Lead the charge on everything from community events and outreach to conference booths. You’ll manage it all—planning, logistics, vendor coordination, and team communication. 
  • Collaboration: Work cross-functionally with internal teams and external vendors, ensuring everyone is aligned and every detail is covered. 
  • Liaising: Serve as the primary point of contact for event-related inquiries, providing exceptional customer service to both internal and external stakeholders. You’ll also liaise with agencies, designers, and writers for creative development and campaign execution. 
  • Post-Event Management: Conduct post-event evaluations, analyze OKRs, gather photos and videos from events, and identify areas for improvement with the support of marketing leadership. 

Marketing Request Management (25%) 

  • Manage Marketing Requests: Oversee all incoming marketing requests for the team, ensuring they are assigned to the right personnel and that tasks are completed on time. 
  • Project Prioritization: Coordinate with various team members to ensure requests are completed efficiently while keeping deadlines and quality in mind. 
  • Marketing Strategy: Partner with the Director of Communications and Engagement to execute marketing plans, track OKRs, and ensure campaigns and events align with business goals. 

Additional Support (25%) 

  • Email Marketing Assistance: Provide support in developing and managing email campaigns and leveraging HubSpot for additional CRM and marketing automation tasks. 
  • Swag Management: Oversee company swag/promo items, including inventory and distribution. 
  • Communication Coordination: Handle email requests from centers and manage contacts. 
  • Marketing Expense Reporting: Manage and report on event-related marketing expenses. 
  • Survey and Feedback Handling: Review requests and manage surveys. 
  • Media Management: Oversee collection and management of photos and videos from centers. 
  • Perform other related duties as needed. 

You’re a Great Fit if You Have: 

  • A passion for organizing and managing multiple moving pieces at once (you probably love to-do lists!). 
  • Strong project management skills, with the ability to manage timelines, logistics, and vendor relationships. 
  • Excellent written communication skills and the ability to tailor messages for different audiences. 
  • The ability to juggle multiple priorities without dropping the ball. 
  • Comfort collaborating with different teams, from design to operations. 
  • Experience in event planning or marketing (bonus points if you’ve done both!). 
  • Proactive problem-solving skills: you love tackling challenges and coming up with solutions on the fly. 
  • A fun, positive attitude that fits with our team-oriented, playful culture. 
Requirements

Requirements: 

  • Bachelor’s degree (preferably in Marketing, Communications or Business); Associate’s degree accepted 
  • Minimum 3 years of experience in Event Coordination, Project Management, or Marketing Support 
  • Occasional travel required 
  • Experience supporting both Offline and Online Marketing Campaigns 
  • Proficient in Google Suite, MS Word, Excel, PowerPoint, SharePoint and web-based applications 

Preferred (but not required!): 

  • Background in Healthcare or Education/children-related fields 
  • Familiarity with project management tools, like Click-up, CRM platforms, such as HubSpot, and design tools, such as Canva and Adobe Design Suite 
  • Experience with WordPress, or similar CMS, and basic graphic design skills 
  • Knowledge of online review sites and social media platforms
