Please note: This position can work remotely, but new hires will be required to come to our headquarters in Perrysburg, OH for an initial 2-week in-person paid orientation and training period.


WHAT YOU CAN EXPECT TO DO AS AN Operations Project Administrator AT SIGMA:


Position Description

The Operations Project Administrator (Project Administrator) provides administrative support to deliver projects within the established budget and timeline. Administrators should have knowledge of commonly-used concepts, practices, and procedures in administrative support and will rely on standards, instructions, and pre-established guidelines to perform the functions of the job. The Project Administrator is expected to apply experience and knowledge to provide solutions when guidelines will not meet expected outcomes and be able to recommend new and/or improvements to documentation where needed.


Some of the essential job functions

  • Pre-production staging (office organization & entry of work orders), preparation/printing, and dissemination of work assignment packages for Engineers, Designers & Field Technicians.
  • Update and maintain production, budget, and milestone/schedule reports from Excel and Access databases; track and report the status of work orders
  • Final work package closeout and filing
  • Collaborate with others, including co-workers and clients, as needed to devise the best solutions, optimize administrative processes, and support project/department objectives
  • Professionally communicate and coordinate between departments
  • Create text edits as instructed in CAD drawings
  • Assisting project managers in coordinating project activities
  • Provide high-quality, efficient service with a focus on helpfulness and teamwork
  • Flexible, proactive, and resourceful when dealing with issues that may arise, taking ownership to get projects done, and coming prepared with potential solutions when presenting problems
  • Capable of independent work on complex tasks within a competency
  • Resolve anticipated administrative problems through the proper application of policies and procedures or the appropriate use of problem-solving skills
  • Provides guidance to others for specific duties in software, processes, and procedures
  • Provides quality control review
  • May provide project assistance with tasks assigned by others
  • Other projects and operational duties as assigned
Requirements

General Requirements

  • Education: High School Diploma or Equivalent is required
  • Experience: 2+ years of experience in an office administrative role
  • Strong organizational skills, attention to detail, and experience in office policy and process management
  • Excellent time management skills and the ability to organize, multitask and prioritize
  • Strong oral and written communication skills
  • Must be discrete; a commitment to maintaining company confidentiality and privacy guidelines is a requirement
  • Strong professional judgment, problem-solving ability, and financial skills to assist in making sound business decisions
  • Ability to collaborate with a multi-department team
  • Ability to learn and operate proprietary software and other computer systems
  • Computer literate – especially Microsoft Word, Excel, Outlook
  • Able to pass a background check/drug test/driving record check
  • Dependable transportation and a valid driver’s license and insurance
  • Authorized to work in the United States
  • Computer Aided Design (CAD) experience is preferred but not required

Physical Requirements:

  • Must be able to endure frequent, lengthy periods of sedentary work and sit for prolonged periods of time, including at a desk.
  • Must be able to utilize a computer keyboard, computer monitor, and telephone for prolonged periods of time.
  • Must have the physical ability to perform activities such as preparing and analyzing data and figures, transcribing notes, and viewing a computer terminal; these activities require close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Must have the physical ability to express or exchange ideas by means of the spoken word and convey detailed or important spoken instructions to other workers accurately, often in a group setting.
  • Must have the ability to receive detailed information through oral communication.
