POSITION SUMMARY:

This position supports the work of the Y, a leading nonprofit committed to strengthening community through youth development, healthy living and social responsibility. The Payroll and Benefits Administrator performs a wide variety of record keeping, compliance reporting, benefit and payroll processing activities.  This position serves a key link between Finance and Human Resources departments.  As a member of the Human Resources team, this position interacts with all levels of employees and has a strong understanding of the organization’s mission.


Requirements

ESSENTIAL FUNCTIONS:

  • Supervises Payroll and Time & Attendance Applications
  • Research and resolve questions from managers and employees as they relate to the processing of payroll information such as PTO, banking, garnishments, employment verifications, workers compensation, retroactive pay calculations, tax questions, and      other changes.
  • Communicate with the Director of Human Resources to ensure the integrity of the payroll data including data related to new hires, terminations, transfers and rate changes. 
  • Review payroll documentation for accuracy through audit reports and make any necessary adjustments. Prepare payroll reports for Director of Human Resources for review and approval.
  • Works directly with staff benefit related issues
  • Manages unemployment claims 
  • Administers all staff benefits, processes enrollment and works with employees on benefit related issues, including COBRA
  • Administers and manages employee medical leave
  • Manages staff separation process (ensure termination of access, benefits, schedule exit interview, etc.)
  • Submits related regulatory reports as directed (MWS, BLS, EEOC, OSHA 300, Form 5500)
  • Distributes relevant reports to managers
  • Works with Finance to ensure proper job cost allocation and GL account mapping in software for payroll and benefits allocation and reconciliation
  • Works directly with benefit broker to coordinate annual open enrollment meetings
  • Ensures  worker's compensation claims are reported timely and accurately to carrier and serve as liaison to medical provider and employee.
  • Aids in training supervisors on procedures to ensure compliance

QUALIFICATIONS /EXPERIENCE: 

  • ·Experience with payroll software handling payroll for 1200 employees or more.  
  • Experience with Paylocity a plus
  • Experience with Benefits management including open enrollment and daily/weekly/monthly administrative duties
  • Requires broad knowledge of wage and hour laws and Human Resources practices

· Three to five years of payroll experience required.

· Requires computer literacy of word and spreadsheet software and recordkeeping and bookkeeping principles. 

· Must be highly organized, detail oriented, with accurate data entry skills

· Able to meet deadlines as necessary.

· Effectively work with minimal supervision.

· Exercise sound judgment when making decisions.

· Must posses exceptional communication skills both verbal and written.

· Must be a good problem solver/creative thinker.

· Must posses a “Can-do” attitude, pro-active and resourceful.

· Ability to work with and maintain confidential information. 

· Build positive working relationships with employees at all levels within the organization

· Meet the Association’s policies on background screening



WORK ENVIRONMENT AND PHYSICAL DEMANDS:

Usual office working conditions. The noise level in the work environment is typical of most office environments with telephones, personal interruptions, and background noises.


While performing the duties of this position, the employee is frequently required to sit, communicate, reach and manipulate objects, tools or controls. Minimum physical exertion. Duties involve moving materials weighing up to 10 pounds on a regular basis and up to 20 pounds on an occasional basis. Manual dexterity and coordination are required over 75% of the work period while operating equipment such as computer keyboard, mouse, 10-key calculator, phone, and similar machines.
