New Tripoli Bank, a $500 million community bank, is seeking a full-time Executive Assistant to support the Chief Executive Officer, President and Board Chair.
The successful candidate will have at least five years’ experience as an Executive Assistant and will be responsible for performing various administrative support duties to assist the Bank's Board Chair, President, and Chief Executive Officer in the performance of their duties; coordinating work with other Bank divisions and departments; complying with operating policies and procedures; maintaining the Board of Directors information portal; responding to inquiries or requests for information; maintaining appropriate records and providing assigned reports. Also serves as Secretary to the Board of Directors. Assumes administrative duties relative to Annual Meeting, Stockholder relations and other board and organizational issues.
Essential Duties Include:
• Ability to maintain strict confidentiality.
• Prepares various minutes, letters, correspondence, reports, and memos from various meetings, as assigned.
• Assembles data as necessary to answer prepare reports or filings, correspondence; composes, types, and signs letters of reply within scope of authority.
• Files and organizes documents, forms, reports, and other related information.
• Opens, sorts, and prioritizes incoming mail; evaluates and routes incoming mail and assembles related information.
• Schedules and alerts the Board and Leadership Team to date and time of meetings, conferences, etc.; assists in scheduling, arranging appointments, interviews, business trips, etc.; maintains a schedule of commitments to avoid conflicts; makes travel and hotel reservations as directed; makes reservations for meetings.
• Maintains records and files, often of a confidential nature.
• Maintains regulatory reference manuals and other materials.
• Records proceedings of meetings of the shareholders, the Board of Directors, and Committee meetings as determined by the Board; maintains a file of these records for future use.
• Ensures that notices are given pursuant bylaws and resolutions.
• Acts as Custodian of Corporate Records and of the Corporate Seal as follows:
o Affixes the seal to documents on behalf of the corporation.
o Countersigns documents as duly authorized.
• Maintains a record of shareholder names, addresses and contact information.
• Controls the share transfer books of the corporation.
• Maintains a record of those authorized to act for the corporation in transactions with other persons.
• Performs duties incident to the office of Secretary to the Board of Directors as assigned by the Board of Directors or President.
• Coordinates preparation of Annual Report.
• Abides by the current laws and organizational policies and procedures designed and implemented to promote an environment which is free of harassment and other forms of illegal discriminatory behavior in the workplace.
• Cooperates with, participates in, and supports the adherence to all internal policies, procedures, and practices in support of risk management and overall safety and soundness.
• Responds to inquiries relating to his/her particular area, or to requests from customers, other bank personnel, etc., within given time frames and within established policy.
• Answers telephone in a friendly and courteous manner; assists callers if possible or transfers calls to the proper individual or department or takes messages, as necessary.
Qualifications:
• A minimum five (5) years' experience in related positions required
• Proficient reading, writing, grammar, and mathematics skills
• Proficient interpersonal relations and communicative
• Ability to maintain strict confidentiality
• Proficient PC skills
• Thorough knowledge of, or ability to learn and implement, reporting and documentation requirements of a bank holding company and bank
• Working knowledge of bank products and services, along with the operational policies and procedures that impact these products • Visual and auditory skills
• Knowledge of shareholder relations and stock transfers.
