Description

POSITION SUMMARY:

The Billing & Collections Staff Administrative Assistant works directly with accounting, key business partners, and departments across the company to manage, allocate and monitor financial resources in compliance with laws, regulations and policies, with sufficient transparency and appropriate internal controls to ensure the resources are efficiently applied to meet organizational goals and objectives. 

This individual provides administrative, clerical and basic accounting assistance to all areas of the accounting department.

This position does not include supervisory responsibilities. 

KEY RESPONSIBILITIES AND ESSENTIAL FUNCTIONS:

- Provides customer service by answering the main phone line and directing calls to the appropriate person

- Monitor and respond to customer service emails

- Prepares presentation materials, reports and financial exhibits for management

- Provides customer service by responding to and resolving complaints

- Communicates with underwriting and sales to support agency management

- Assists in collection communication and past due invoices and database tracking of such

- Assists in processing payments from insureds

- Collaborates with other accounting team members and the broader accounting team on project goals

- Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications, participating in professional societies

- Performs other activities, duties and assignments as needed or requested


Requirements

QUALIFICATIONS

- High school diploma required; 2-year Associate Degree preferred

- Previous experience in financial services preferred

- Previous experience in customer service

SKILLS

- Insurance industry knowledge and a working knowledge of insurance systems (policy & claim) preferred

- Ability to multi-task and learn quickly

- Ability to self-start and research independently

- Ability to handle and resolve conflicts in a professional, tactful manner

- Excellent customer service and issue resolution skills necessary to work with internal and external customers

- Excellent oral and written communication skills to clearly articulate plans and solutions to agents, insureds or management

- Attention to detail and organizational skills

- Strong sense of accountability, comfortable making recommendations and taking accountability for outcomes

- Working knowledge of transactional systems such as Origami

- Ability to meet deadlines in a multi-priority, fast-paced environment both independently and within a team environment

- Ability to define problems, collect and analyze data, establish facts, draw valid conclusions and recommend solutions

- Computer skills including knowledge of Microsoft Office

- Basic skills in Excel (Formulas, Pivot Tables)


Salary Description
$20-$22 / hour
