We are looking for a Project Coordinator who will be responsible for overseeing client orders and the day-to-day administrative functions of these orders. Other responsibilities include order follow up with suppliers and freight companies, procurement and returning of samples, order pre-invoicing, and securing purchase orders/client payment while engaging in high quality client experiences.
Responsibilities
- Coordinate with suppliers and their production schedules ensuring the delivery and receipt of products are accurate and on-time.
- Monitor quality control on ordered merchandise, screening for product quality and accuracy while ensuring client’s brand guidelines are adhered to.
- Coordinate timely delivery of product to appropriate destinations (embroidery, screen print, end product to client) including frequent tracking and updates on proof of delivery.
- Coordinate receipt and review of production proofs, verifying accuracy to specifications of order and final approval from client.
- Proactively consider items that could impact a shipment from arriving on time and manage around them.
- Investigate, resolve, and find solutions for customer complaints and order related issues.
- Help research and price merchandise for new projects. Retrieve quotes from suppliers and understand supplier’s company procedures, requirements, and lead-time.
- Coordinate with internal departments on customers’ behalf to ensure customer needs are met.
- Develop and grow relationships with customers by understanding their business needs, products and goals and provide solutions to best meet these needs.
- Develop and maintain positive relationships with suppliers. Keep track of special agreements and pricing available with our preferred suppliers.
- Develop strong industry and product knowledge and understand the value of products and why/how clients use them.
- Finalize outstanding billing information in a timely manner.
- Participate in staff meetings with helpful and productive suggestions and information.
- Complete other tasks as assigned by supervisor.
- High school diploma or GED required.
- 2 + years’ experience in project coordination or equivalent experience
- Proficient in use of Microsoft Word, Excel, and email.
- Ability to prioritize, manage and/or delegate multiple projects at a time.
- Oversee schedule and proactively plan.
- Outstanding written and verbal communications skills, ability to listen, give suggestions and receive feedback.
- Ability to adapt to sudden and frequent changes and move flexibly with patience and decorum.
- Use a solution-focused approach to resolving issues while maintaining professionalism and openness to a variety of possible outcomes.
- Coordinate and manage meetings with supervisor and team ensuring all action items are completed.
- Ability to multi-task; manage multiple priorities within limited timeframes.
This compensation range has been created in good faith based on information known to HALO at the time of the posting and does not include any potential benefits, however, such information will be provided separately when appropriate. The estimated hourly rate for this position is between $16.50-20.87/hour USD, depending on experience.
