Description
We are seeking a detail-oriented and proactive Administrative Assistant to join our dynamic team.
This role reports to the Director of Engagement and supports critical functions within the Events Team and Engagement Team, ensuring seamless communication, organization, and compliance across various projects and initiatives. The ideal candidate is highly organized, professional, and skilled in multitasking, with a strong focus on collaboration and operational excellence.
Key Responsibilities
- Coordinate communications, including calls, emails, and cross-departmental interfacing.
- Manage word processing, spreadsheets, and database entries with accuracy.
- Schedule meetings and appointments for internal and external stakeholders.
- Process travel expenses
- Collaborate with event coordinators to review and align event budgets.
- Review and distribute internal and external corporate documents.
- Maintain organized filing systems for paper and electronic records.
- Develop and manage an alert system for deadlines, requests, projects, and events.
- Attend meetings to document and track discussions and share information.
- Perform other duties as assigned.
Requirements
- Proficiency in Microsoft Office Suite, database systems, and expense management (budgets)
- Excellent organizational and time-management skills.
- Strong communication and interpersonal abilities.
- Ability to maintain strict confidentiality and exhibit a high level of professionalism.
- Detail-oriented with the ability to manage multiple tasks simultaneously.
