POSITION DESCRIPTION

POSITION TITLE: Proposal and Order Coordinator (P&OC) PSD Components Group

EFFECTIVE DATE: December 2024

REPORTS TO: Field Service General Manager LOCATION: Canonsburg, PA

DEPARTMENT: Field Service & Warranty PSD STATUS: Exempt

Position Description Summary 

The Proposal and Order Coordinator will support the sales and operations teams by managing the proposal and order process for field services. This position requires excellent organizational skills, attention to detail, and the ability to work collaboratively with various departments to ensure timely and accurate delivery of proposals and orders.

Essential Functions

Key Responsibilities:

  • Proposal Management:
  • Coordinate the preparation and submission of proposals for power transformer field services.
  • Collaborate with sales, engineering, and field operations teams to gather necessary information and ensure proposals meet client requirements.
  • Review and edit proposal content for accuracy, clarity, and compliance with company standards.
  • Track proposal status and follow up with clients as needed.


  • Order Coordination:
  • Process and manage orders from receipt to delivery, ensuring all documentation is complete and accurate working with internal PTT finance teams.
  • Communicate with clients to confirm order details and provide updates on order status.
  • Coordinate with internal departments to ensure timely fulfillment of orders.
  • Maintain accurate records of orders and related documentation.


  • Client Communication:
  • Serve as clients' primary point of contact regarding proposals and orders.
  • Address client inquiries and resolve issues in a timely and professional manner.
  • Build and maintain strong client relationships to ensure satisfaction and repeat business.


  • Administrative Support:
  • Assist with the preparation of reports and presentations for management.
  • Maintain organized files and records related to proposals and orders.
  • Perform other administrative tasks as needed to support the team.


Knowledge, Skills & Abilities

  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to work independently and as part of a team.
  • Proficiency in using technical support software and tools.

Education And Experience

  • Experience: Minimum of 2 years of experience in proposal coordination, order management, or a similar role.
  • Knowledge of power transformers and/or field services or related industries preferred
  • Education: Bachelor’s degree in business, Business Administration, or equivalent experience.

Working Relationships

  • External and internal interactions, collaborating with supervisors and personnel under your direction as well as customers and vendors. You will manage the interface between departments, coordinating and executing production requirements.

Physical Job Demands

  • Ability to lift, carry, and move up to 30 lbs.
  • Must be able to work in extreme hot and cold conditions, stand for extended periods, and be exposed to loud noise levels.
  • Specific vision abilities required by this job include close vision, distance vision, color vision and the ability to adjust focus.
  • Must have the ability to hear telephone conversations and speak clearly.
  • May require high levels of concentration in a busy, dynamic environment.

Working Conditions

Monday through Friday and on-call will be required.
