Position Summary:

PCG Consulting group is a dynamic and innovative organization that partners with health, education, and human services agencies to improve lives. We have currently partnered up with Deloitte and are currently looking for a HR Documentation and Compliance Specialist to join our team!!


The HR Documentation and Compliance Specialist will play a vital role in enhancing HR processes to ensure compliance with regulatory standards. This position focuses on digitizing and standardizing HR documentation, creating templates for compliance audits, and maintaining accurate and up-to-date records. The Specialist will also develop training materials to ensure employees and stakeholders are informed about updated compliance processes and standards.


Key Responsibilities:


Documentation and Process Standardization:

  • Digitize and streamline HR documentation procedures to improve efficiency and accessibility.
  • Develop and implement standardized templates for HR documents to ensure consistency and compliance with regulatory standards.
  • Review, update, and replace obsolete or non-compliant HR documents with accurate and current materials.

Compliance and Audit Support:

  • Maintain comprehensive and well-organized HR records to support internal and external compliance audits.
  • Ensure HR documentation processes align with federal, state, and local labor laws and organizational policies.
  • Collaborate with compliance and audit teams to address documentation-related gaps or issues.

Training and Communication:

  • Create training materials and job aids to educate employees and HR staff about updated documentation processes and compliance standards.
  • Deliver workshops or training sessions on best practices for maintaining HR compliance.
  • Serve as a point of contact for HR documentation-related inquiries and provide guidance to team members.

Continuous Improvement:

  • Identify and implement improvements to HR documentation and compliance processes to enhance accuracy and efficiency.
  • Monitor changes in labor laws, regulations, and industry best practices, updating HR processes and templates accordingly.
  • Work closely with HRIS administrators to ensure documentation tools and systems support compliance needs.


Requirements


  • Proven experience in HR compliance, audit functions, or documentation management.
  • Strong knowledge of HRIS systems and documentation tools; experience with digital file management systems is preferred.
  • Excellent organizational skills and attention to detail, with the ability to handle sensitive and confidential information.
  • Exceptional writing and communication skills, with the ability to create clear and concise documentation and training materials.
  • Familiarity with federal, state, and local labor laws and HR compliance standards.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other document management software.
  • Bachelor’s degree in Human Resources, Business Administration, or a related field (or equivalent work experience).

Work Environment and Reporting Structure:

  • Reports to the HR Compliance Manager or Director of Human Resources.
  • Collaborative work environment requiring interaction with HR teams, compliance officers, and external auditors.
  • May involve occasional travel for training sessions or compliance-related meetings.
