As an AI Automation Specialist, you will be instrumental in automating workflows that streamline property management, contract redlining, record-keeping, and analysis, helping our team meet critical deadlines and optimize productivity. This role will also involve designing solutions to manage and process vast amounts of data, ensuring seamless integration across platforms and delivering actionable insights that support our commercial real estate operations.
Responsibilities
- Automate Property Management Tasks: Develop and maintain automated workflows for routine property management tasks, such as tenant communications, maintenance requests, lease renewals, and compliance tracking.
- Contract Management and Redlining: Utilize automation to support contract lifecycle management, including redlining contracts, tracking changes, and maintaining version control to streamline the review and approval process.
- Record-Keeping and Documentation: Implement automated solutions for record-keeping, ensuring that property records, lease documents, financials, and other critical files are consistently updated, organized, and easily accessible.
- Data Analysis and Reporting: Automate data collection and analysis processes to provide insights on property performance, market trends, occupancy rates, and financial metrics, enabling data-driven decision-making.
- Deadline Tracking and Alerts: Create automated reminders and notifications for key deadlines, such as lease expirations, rent collection, and project milestones, ensuring timely completion of tasks across the organization.
- Process Optimization for Efficiency: Identify and optimize workflows for enhanced efficiency and effectiveness, reducing manual work and error rates in property management, reporting, and contract management.
- Integration with Commercial Real Estate Tools: Integrate AI-powered platforms with industry-specific tools, such as CRMs, Deal Managers, property management software, and data analytics platforms, to enhance functionality and streamline operations.
- Cross-Functional Collaboration: Work closely with C-levels, real estate team, property managers, and legal teams to understand operational needs and implement automation solutions that address pain points and support business goals.
- Monitor, Troubleshoot, and Improve: Regularly monitor automated processes to ensure accuracy and performance, troubleshooting issues as they arise and optimizing workflows based on feedback.
- Training and Documentation: Provide training and support to team members on new automation processes, documenting workflows and best practices to facilitate smooth adoption and usage.

Qualifications
- Education: Bachelor’s degree in Computer Science, Information Technology, Data Science, or a related field.
- Automation Experience: Proven experience with automation platforms like Make.com or Zapier, and familiarity with integrations tailored for commercial real estate.
- Scripting and Development: Proficiency in a scripting language (e.g., Python, JavaScript) and experience in developing automation solutions.
- Industry Knowledge: Knowledge of commercial real estate, including property management processes, contract management, and data analysis, is a strong plus.
- API and System Integration: Expertise in working with APIs to integrate various platforms, particularly CRMs, property management systems, and financial software.
- AI and Machine Learning: Understanding of AI and machine learning techniques as applied to automation, predictive analytics, and decision support in real estate.
- Analytical and Problem-Solving Skills: Strong analytical abilities to develop tailored automation solutions and solve complex workflow challenges.
- Communication and Collaboration: Excellent communication and teamwork skills to work effectively with stakeholders from multiple departments.
