Position Title: North County Center Coordinator
Department/Unit: Engagement, Community Education
Classification: Coordinator II

Salary/Grade: $20.13 Per Hour
Reports To: Vice President of Engagement (VPE)
Percentage: 100%
Annual/Academic year: Annual
*This position is located in Lincoln City, OR at Oregon Coast Community College’s North County Center.
*Assignment will include presence at all OCCC locations and may include evening and weekend work. Travel between College sites and other locations will be required. Occasional travel and overnight stays outside of Lincoln County may be required for training and other purposes.

POSITION SUMMARY
Under the direction of the VPE, this position provides support in various ways to the different users of the North County Center in Lincoln City, including primary reception to students (credit and non-credit), faculty (in its role in support of Academic Affairs), North Center tenants, room-use customers, Small Business Development Center (SBDC) and the general public.
Schedule may require occasional early morning or evening work. Travel between College locations along with other locations may be required as needed. Occasional travel and overnight stays may be required for training and other purposes.
DUTIES AND RESPONISBILITIES
North County Center Reception, Academic & Student Affairs and Facilities
General Support
- Provides front-line reception and welcoming services, fielding questions, providing answers, ensuring contact with appropriate personnel and referrals for College services
- Orders office supplies and equipment and maintains supply inventory
- Process materials that travel to and from North County Center and Central Campus
- Provide administrative support to VP of Engagement
Academic Affairs
- Provides general operational and technical support for media and equipment to faculty and instructors, including guidance on how to use various types of equipment
- Proctoring Examinations for OCCC students, other schools, and the general public as a designated testing center
Student Affairs
- Participate in and coordinates campus wide student success phone campaigns
- Serves as a general resource in the use of College’s online data system, CNS – Student Information System, by providing direction and technical assistance at a basic level when navigational problems or general trouble shooting needs arise.
- Support student technology distribution and return
- Assigning study rooms, etc.
Facilities Support
- Opens, closes, and secures building,
- Coordinating and ensuring room set-up for instruction and events.
- Performs minor, routine facility maintenance (i.e. restroom supply maintenance, commons area orderly).
- Submits maintenance requests for repairs to facilities staff.
Non - Credit Community Education (CE)
Works with VPE to prepare Community Ed course offerings.
- Work collaboratively with Academic Affairs on room assignments and supports for all noncredit programming
- Enters course details into course management data system for community education offerings.
Community Education Instructors
- Communicates with CE instructors to arrange dates/times/format for proposed courses
- Collects requisite paperwork from incoming CE instructors and collaborates with HR on new and returning instructors
- Facilitates payment of CE instructors by requesting and verifying invoices and submitting instructor invoices to Accounts Payable.
CE Students/participants
- Inputs student registration details into the student information data management system recording payment and necessary refunds in various systems.
- Distributes, collects, and reviews evaluation forms for CE student/participants
Small Business Development Center
Assists with all aspects of office operations and communications
- Responds to inquiries made regarding SBDC services and resources to prospective, past, and current SBDC clients.
- Assists with the preparation and distribution of press releases and other printed and digital marketing assets and works with outside organizations to promote events.
Works with Assistant Direct of SBDC and Advisors
- Provides clerical support and arrange class location/dates, especially, but not limited to, those held at the North County Center in Lincoln City.
- Works with SBDC Director, Assistant Director and staff, and VPE to ensure accurate publication details of SBDC workshop lineup, in the quarterly “Catch the Wave” publication

SUPERVISES THE FOLLOWING STAFF
No supervision but may direct the work of student workers.
EDUCATION & EXPERIENCE
Minimum Qualifications:
- High school diploma or GED.
- Minimum two years’ experience in office administrative support services.
Preferred Qualifications:
- Associate degree in any field.
- Previous experience working in a college or university in a front-office role, assisting faculty, staff, and students.
- Experience in developing and presenting written and graphic communications in a variety of formats: correspondence, flyers, newsletters, or websites.
Knowledge, Skills, Abilities, and Personal Qualifications:
- Ability to multi-task and prioritize effectively while maintaining accuracy and attention to detail.
- Knowledge of contemporary office practices, procedures, and techniques.
- Ability to rapidly learn and apply new information and concepts within the functional areas.
- Excellent organizational skills and attention to detail.
- Perform keyboarding functions with speed and accuracy.
- Utilize computer technology to access data, maintain records, generate reports, and communicate with others.
- Initiative, flexibility, and the ability to work effectively both with and without supervision, in the areas of creative problem-solving, conflict resolution and appropriate decision-making.
- Ability to work effectively independently and as a team member.
WORKING ENVIRONMENT & PHYSICAL REQUIREMENTS:
While performing the duties of this job, the employee is frequently required to sit, see, and talk or hear.
The employee is often required to have mobility to move between offices, classrooms, and floors; use hands to finger, handle or operate computers, objects, tools or controls; and reach with hands and arms.
Light physical exertion with occasional, bending, stooping, pulling, and moderate lifting, employee must occasionally lift and/or move up to 25 pounds and have the ability to carry equipment and tools of moderate weight, using arms and hands.
Specific vision and hearing abilities required by this job include close vision and the ability to adjust focus, and complete and maintain various types of records. Ability to hear the conversational voice and effectively communicate responses.

Work occurs in an office environment with potential for interruptions and background noise.
