The Capital Markets Coordinator plays a dual support role across business development and investor relations (IR) functions, serving as a key collaborator with the capital markets team while providing critical administrative support to IR operations. This position requires exceptional attention to detail, strong organizational skills, and the ability to handle confidential information with discretion. The position will require confidentiality and non-solicit agreements.
Key Job Duties and Responsibilities:
Business Development & Relationship Management
- Maintains and optimizes CRM database for prospect tracking and relationship management. Ensures accurate and complete information is captured and maintained in databases.
- Works with team members to capture relevant investor notes and action items
- Tracks, organizes and processes expenses as needed.
- Coordinates meeting scheduling and follow-up for capital markets team
- Conducts prospect research and list building activities
Fundraising
- Assists in preparation and organization of pitch materials and due diligence documents
- Creates and maintains virtual data rooms for active deals
- Supports deal tracking and pipeline reporting
IR Operations
- Supports Capital Markets Manager with administrative tasks and client service
- Assists with creation and execution of investor communications and distribution notices
- Coordinates document processing for client onboarding
- Supports creation and distribution of investor and lender required reporting
- Helps manage deadline tracking for investor deliverables
- Assists with tax season coordination and document management
- Collaborates with finance, accounting, legal and development teams to ensure accurate information flow and timely execution
- Maintains strict confidentiality of sensitive financial and investor information
- Supports document version control and filing systems
- Generates regular reporting for leadership team
- Bachelor’s Degree in finance, business, or related discipline required.
- 0-2 years of experience in a capital markets, investments or real estate related position.
- Extensive experience in Microsoft Office products, including advanced Excel skills.
- Proven ability to learn and implement CRMs.
- Experience managing data with the ability to synthesize data associated with investments.
- Experience applying critical thinking skills to understand the bigger picture behind the numbers and formulate recommendations for broader business thought processes as a result of the numbers.
