Description

 We are seeking a detail-oriented, reliable, and dedicated Accounts Payable Specialist to join our finance team. This critical role manages the full cycle of Accounts Payable (AP), including processing and recording invoices, credit card transactions, and travel & expenses (T&E) while ensuring compliance with company policies. The ideal candidate thrives in an organized and structured environment, has a keen eye for detail, and values accuracy, collaboration and efficiency in all tasks and continuous improvement. Key Responsibilities:

Accounts Payable Management (50%) 

  • Manage the full cycle of Accounts Payable, including invoice processing, credit card transactions, and T&E, in compliance with company policies. 
  • Process and record invoices accurately and timely in accounting systems (Sage 50, QuickBooks Online, and NetSuite). 
  • Maintain accurate and detailed invoice records, ensuring proper approvals are obtained for all transactions. 
  • Handle 1099 processing to ensure compliance with IRS guidelines. 

Vendor and Payment Reconciliation (30%) 

  • Review vendor statements and promptly resolve payment discrepancies. 
  • Investigate unreconciled line items by working closely with cross-functional teams to ensure timely resolution. 
  • Process and record incoming payments accurately and in a timely manner. 

Cash Flow Support and Reporting (15%) 

  • Provide input to the Controller and other accounting team members to support weekly cash flow reporting and forecasting. 
  • Collaborate with the finance team to ensure alignment on financial processes and priorities. 

Process Improvement and Compliance (5%) 

  • Contribute to the enhancement of AP procedures and controls to improve accuracy and efficiency. 
  • Stay up-to-date on best practices and implement process improvements where applicable. 


Requirements
  • At least 2-4 years of experience in Accounts Payable or a similar role, preferably in a structured and process-oriented environment. 
  • Technical Skills: Proficiency in accounting software such as Sage 50, QuickBooks Online (QBO), and NetSuite is a plus. Experience with Concur or other T&E systems is highly desirable. 
  • Detail-Oriented: Ability to maintain high levels of accuracy while managing multiple priorities. 
  • Problem-Solving: A resourceful and analytical approach to investigating discrepancies and ensuring timely resolutions. 
  • Communication Skills: Strong written and verbal communication skills for collaboration across departments. 
  • Compliance Knowledge: Familiarity with 1099 processing and compliance with IRS and company policies. 
  • Process Improvement: Demonstrated ability to identify inefficiencies and suggest practical solutions for improvement. 

 

Work Environment: Must have a dedicated home office environment free of distractions, reliable high-speed internet (WiFi), and the flexibility to commute to the office 3 days a week.
