Therapy Services Manager

Job Summary:  The Therapy Services Manager is a highly skilled outpatient physical therapist demonstrating essential leadership qualities, who is knowledgeable in physical and occupational therapy management and clinical operations. Proven ability to lead, develop, mentor, and communicate with all members of a physician practice and leadership team. Must be committed to evidence based clinical outcomes, patient customer satisfaction, efficient management operations, and regulatory compliance.

This position will comprehensively oversee therapy services operations at the clinic(s), mentor and oversee Clinical Staff with training/development and compliance with operating procedures. Collaborate to cultivate relationship with clinic staff, providers and the leadership team, in a systematic, consistent approach involving, financial review, clinical key indicators, growth opportunities, community presence, outreach development, patient satisfaction, and superior clinical outcomes. Must be receptive to new processes, procedures, protocols, feedback, and modifications given by the leadership team.

This individual will be a decisive, self-driven, dynamic therapist and leader who is willing to build and develop effective teams, hold people accountable for results and positively affect behavior in others to achieve high performance and personal satisfaction. This position will report directly to the Clinic Operations Director. Additionally, this position will work closely with the therapy services staff on pursuing optimal clinical programming and outcomes.


Primary Job Responsibilities:

  1. Manage therapy services employees, facility, clinical processes and procedures, and workflow to deliver high quality patient care. Develops proper clinical procedures that ensure patient safety, comfort, and quality. Develops appropriate therapy procedures and works with the ASC for therapy consultation post-operatively.
  2. Ensures compliance with all policies and procedures and governmental regulations pertaining to therapy services and ensures all staff maintain appropriate professional licensure. 
  3. Ensure adverse events are reported, documented and necessary follow up is provided in compliance with policy and state requirements.
  4. Ensure effective communication with patients and physician(s) to address any concerns/ issues. Evaluates ongoing patient care and reports significant patient problems to appropriate team members. Supports and promotes a positive image when dealing with patients and others inside and outside the organization. Monitors patient service feedback and contributes to the process of resolving complaints and service issues related to therapy services.
  5. Coordinates with front desk staff and clinical teams to ensure all processes, procedures, and expectations being adhered to, including but not limited to, appropriate scheduling, patient follow-up, and data integrity.
  6. Ensures all staff meet customer service standards.
  7. Create and continually enhance internal physician partnerships to optimize patient care and outcomes. Create and maintain an environment that is consistent with the company’s values and objectives.
  8. Coordinate inventory/supply management and vendor services for therapy services with leadership to ensure cost containment, timely distribution and competitive pricing.
  9. Responsible for efficient utilization of resources.
  10. Responsible for understanding billing and reimbursement requirements for therapy services and coordinating charges with revenue cycle including the support of billing issues and collection activities.
  11. Ensure therapy services is adequately staffed to meet patient needs and the safety and quality of the employees and patients. Selects and hires employees according to established guidelines. Monitors, coaches, develop and evaluate performance of staff on an ongoing basis in accordance with applicable performance standards. 
  12. Assists with the development of patient education material.
  13. Assist with patient care.
  14. Performs other duties as assigned.
Requirements

Education: Doctoral degree in physical therapy 


Experience:  Minimum 1-3-year(s) experience in Outpatient and/or Private Practice Physical Therapy required. 

Experience working with orthopedic and total joint replacement patients preferred.

Experience reading, analyzing, and acting on financial and business reports.

Proficiency with the Microsoft office suite (Word, Excel, PowerPoint) - experience with medical database software preferred.

Demonstrated leadership/Management skills, including excellent communication, customer service, continuous quality improvement, relationship development, results orientation, team building, motivating employees, performance management and decision making.


Other Requirements:

  • Current, unencumbered, active license to practice as a Physical Therapist in the state practicing.
  • Successfully complete and maintain BLS Certification

Knowledge:

  1. Knowledge and understanding of all clinic policies/procedures, culture, and organizational structure.
  2. Knowledge of therapy reimbursement and billing practices.
  3. Knowledge of healthcare privacy regulations, regulatory standards and compliance requirements.
  4. Working knowledge and ability to apply professional standards of practice in job situations.

Equipment Operated: Therapy equipment required patient care and computer hardware/software.


Work Environment: Medical office, exam room, and surgery center settings. Frequent exposure to communicable diseases, biohazards, and other conditions common to medical centers. Frequent contact with a variety of people.

Daily work includes desk and personal computer work and interaction with patients, staff and physicians. The position may require travel between assigned facilities and various locations within the community. Minimal travel to meetings may be required as well. 

The position may provide direct patient care with appropriate license that regularly involves heavy lifting and moving of patients of up to 400 lbs and assisting with ambulation. Coworkers may provide assistance. The position may require frequent prolonged periods of standing and the employee must be able to bend over. 

The work environment is characteristic of a health care facility with air temperature control and moderate noise levels. May be exposed to infectious and contagious diseases/materials.
