Treatment Care Coordinator

Position Overview: 

We are looking for an organized and compassionate Treatment Care Coordinator to join our dental practice. This vital role ensures that patients receive timely, personalized dental care by coordinating appointments, treatment plans, and insurance matters. The ideal candidate will have a strong understanding of dental procedures, excellent communication skills, and a commitment to providing exceptional patient care.


Key Responsibilities:

  • Patient Coordination: Serve as the primary contact for patients regarding treatment plans, procedures, and appointments. Schedule initial consultations, follow-up visits, and any necessary treatments. Confirm patient appointments and manage reschedules or cancellations.
  • Treatment Planning: Collaborate with the dentist to develop customized treatment plans for patients. Clearly communicate the proposed treatment options and expected outcomes to patients, answering any questions or concerns they may have.
  • Insurance Verification and Billing: Verify patient insurance coverage and obtain prior authorizations for treatments or procedures when required. Submit and follow up on insurance claims and work with patients to resolve any insurance-related issues.
  • Financial Coordination: Review and discuss treatment costs with patients, including out-of-pocket expenses, payment options, and financing plans. Assist patients in understanding their financial responsibilities for dental procedures.
  • Patient Education: Provide thorough explanations of treatments, procedures, and post-treatment care to patients. Ensure patients are well-informed and comfortable with the recommended course of action.
  • Record Keeping: Maintain accurate and up-to-date patient records, including treatment plans, appointment schedules, insurance information, and billing records. Ensure that all documents comply with HIPAA and privacy regulations.
  • Follow-Up and Care Continuity: Ensure patients complete recommended treatments by scheduling follow-up appointments or additional procedures as necessary. Remind patients of upcoming visits, assist with referrals to specialists, and track progress for ongoing care.
  • Team Support: Work closely with dentists, hygienists, and administrative staff to ensure seamless patient care and smooth office operations. Assist with office tasks as needed, including handling phone calls, emails, and patient inquiries.

Qualifications:

  • High school diploma or equivalent required; associate's or bachelor’s degree in healthcare administration or a related field is preferred.
  • Minimum of 1-2 years of experience in a dental office or healthcare setting preferred.
  • Strong knowledge of dental procedures, terminology, and treatment plans.
  • Experience working with dental insurance companies, including verification, authorizations, and claims.
  • Excellent communication and customer service skills, with the ability to explain complex treatment plans and financial details clearly to patients.
  • Proficiency with dental office management software (e.g., Dentrix, Eaglesoft) and Microsoft Office Suite.
  • Ability to manage multiple tasks, prioritize efficiently, and maintain attention to detail in a fast-paced environment.
