As the part time Administration Manager you will support the strategy of the Willow Creek Compassion and Justice (C&J) ministry in their mission of ‘Fighting poverty and injustice so that lives are transformed and Jesus is known’, which includes the Care Center Willow South Barrington and Care Center expressions at other Willow campuses through the administration of ministry related activities (ex: Hope Packs, Seed Packing, Global Teams, Securing Granting, Sending Granting etc.) You will also help facilitate an environment of collaboration and accountability among volunteer leaders (Grant writers, grant researchers, administrative volunteers), Groups/C&J staff, and other stakeholders.
The salary range for this part time 20 hour per week position is around $21/hr - $29/hr depending on experience and skill set. Benefits include retirement savings plan, paid time off accruals, mental health counseling reimbursement, and more.
Job Responsibilities
- Support serving groups and other ministry activities in getting volunteers through the background check process.
- Administrative support for global teams: Booking flights, trip budgets, tracking paperwork, etc. (Global teams operations - Registration, Flights, Paperwork: passports, parental consent, etc., Protection, Budget for teams, Managing admin volunteers), supporting campaigns (ordering, reservations, printing, etc. for COH, Hope Packs, Seed Packing, containers etc.)
- Administer grants through Nexonia or other systems, ensuring that partners are receiving funding in a timely manner.
- Help create a strategy for growing the external non-individual (organizations, corporations, foundations, etc.) sources of support for C&J ministries and initiatives.
- Responsible for researching, applying for, receiving internal approval, tracking progress/compliance on, and preparing reports for grants.
- Primarily, these grants will focus on the Care Center, but secondary initiatives like Community Resource Days, new Care Center expressions, Seed Packing, Hope Packs, Back-to-School Drives, and our campaigns (Celebration of Hope and Local C&J Year End Campaign) should also be considered.
- Set and track progress toward annual goals for grants received and revenue generated
- Create, oversee, empower, engage, and maintain a volunteer team who helps to research and apply for grants, and perform administrative/operations related tasks.
- Assists in planning and implementing cross-campus C&J initiatives, campaigns (Celebration of Hope, Fall Campaign), and events (Seed Packing, Hope Packs, etc) and ensures our partners are involved and honored throughout the process.
- Serves as Care Center staff coverage 1-2 times a month.

Skills/Competencies:
- Administratively Skilled - skilled in helping people manage and support a business/non-profits’ daily operations, particularly in managing complex budgets
- Project Management - Able to work systemically through projects using the tools available at Willow.
- Conflict Management - experience and expertise in navigating difficult conversations, particularly around issues of budgeting and funding
- Asset-Based Community Development - knowledge about ABCD and other church-based development strategies.
- Cultural Intelligence (CQ) - motivation to be culturally aware, knowledge of other ethnicities/cultural groups, strategic planning for cross-cultural interactions, and the ability to adapt one’s behavior to the cultural situation

Education and Experience:
- Administrative or operational ministry/work experience
- Budgeting and financial audit experience
- Grant writing experience preferred, but not required
