Title: Automation Specialist

Job Description:

The Automation Specialist will spearhead the automation of operational functions for property management tasks across all buildings. This role aims to optimize efficiency, reduce manual workloads, and ensure seamless tenant experiences by leveraging cutting-edge automation tools and technologies.

Key Responsibilities:

• Workflow Automation:

Design and implement automated workflows for maintenance requests, tenant onboarding, and facility management tasks.

Integrate smart systems (e.g., QR codes, smart locks) to streamline building access and scheduling.

• System Integration:

Use platforms like Make.com, Dify, N8N, Yardi, and other property management tools to create interconnected systems.

Develop solutions that allow real-time updates and communication between CRM platforms, tenant portals, and internal systems.

• Maintenance and Task      Management:

Automate maintenance request submissions and task assignments.

Set up automatic alerts and progress tracking for tasks requiring manager verification.

• Tenant Communication:

Implement AI-driven tools for tenant inquiries, onboarding emails, and space manual distribution.

Enable automated responses for routine tenant questions.

• Analytics and Reporting:

Generate automated reports for occupancy rates, maintenance completions, and operational efficiencies.

Provide insights to optimize resource allocation and improve tenant satisfaction.

• Training and Support:

Train staff on using automated tools and systems.

Ensure seamless adoption of automation technologies within the property management team.

Qualifications:

• Bachelor’s degree in computer science, Information Technology, or related field with 2+ years of experience

• Experience in workflow automation platforms (e.g., Make.com, Zapier).

• Strong background in software development with proficiency in at least one scripting language (e.g., Python, JavaScript).

• Experience with API integrations and managing data flow across different platforms.

• Knowledge of AI and machine learning techniques as applied to automation.

• Strong analytical skills and problem-solving abilities.

• Excellent communication and teamwork skills.

• Familiarity with property management systems like Yardi or CoStar.

• Strong understanding of AI tools for customer service and operational management.

• Analytical skills to assess operational needs and implement tailored automation solutions.

• Excellent communication skills to train and support staff on automated processes.
