Job Title: Executive Assistant to the Lead Pastor
Reports To: Senior Executive Assistant and Lead Pastor
Job Overview:
Gateway Fellowship is seeking an organized, detail-oriented, and proactive executive assistant to support the lead pastor. The ideal candidate will possess excellent communication and project management skills, good technical and creative skills, and be able to handle multiple deadlines in a fast-paced environment.
As a member of the Gateway OneTeam, you will support and demonstrate an understanding of the church’s mission: Helping people take their next step toward Christ. Key qualifications include possessing a character that reflects biblical godliness and demonstrates a meaningful, personal relationship with Jesus Christ.
Job Status/Schedule – Full-time, 32-40 hrs/wk. In-office Tuesdays and Wednesdays; the remaining hours are flexible depending on the workload of supporting the Lead Pastor (including occasional assistance on weekends).
Salary – $18.00 - $23.00/hr

Responsibilities and Duties:
PASTORAL SUPPORT
- Calendar: Assist with personal calendar/appointments, make travel reservations
- Liaison: Act as liaison between the lead pastor and staff and congregation
- Meeting Notes: Take accurate and comprehensive meeting notes
- Credit Card: Credit card reconciliation
- Special Projects: As requested
GENERAL CHURCH SUPPORT
- All-Church Events: Schedule and support all-church events including promotion; request facility resources, techs, and catering (conferences, seasonal events, annual vision meeting)
- Monthly Events: Schedule and support monthly events ("Party With the Pastor," baptisms, child dedications, etc.)
- Weekly Services: Obtain sermon illustration items, provide special guest hospitality, and other general support
- Sunday Counts: Ensure Sunday counts are recorded; report totals to the lead pastor and Board of Elders
- Website: Maintain the general church website pages
- Keywords: Maintain keywords in Clearstream
- Newsletter: Create and send out a weekly email newsletter to the congregation
- Hospitality: Provide hospitality for church staff meetings and celebrations, special guests, board meetings, and other meetings
- Background checks: Process any departmental background checks as needed
- Special Projects: As requested
Miscellaneous
- Monthly administrative assistants’ meeting: Do assigned homework assigned
- Support Administrative Assistant team: As needed
Qualifications:
- Strong commitment to faith in Christ and alignment with Gateway’s Statement of Faith.
- Must regularly attend Gateway Fellowship.
- Administrative assistant experience is required. Executive assistant or church administrative assistant experience is preferred.
- Excellent written and verbal communication skills, project management skills, technical and creative skills, and ability to handle multiple deadlines in a fast-paced environment.
- Detail-oriented, highly organized, and self-motivation is required.
- Expert in Microsoft Office Suite (Teams, Outlook, Word, Excel, PowerPoint).
- Experience with Planning Center, Church Community Builder, and website design is a plus.
- Basic graphic design experience (e.g., Photoshop or Canva) is highly desirable.
- Positive attitude, with a passion for supporting church ministries.
