Service HVAC - Service Coordinator
Summary/Objective
Maxair's service coordinators are responsible for professionally receiving incoming service calls, dispatching service technicians, and supporting Maxair's customers. They also schedule and dispatch for preventive maintenance customers, support our technicians with large purchase order generation, and prepare invoice proofs for all time and material work orders. In this role, you will develop long-term relationships with our customers, our technicians, and our employees.

Maxair Mechanical is a commercial HVAC, plumbing, and controls service provider. We provide both ongoing service and new construction (typically tenant retrofit) throughout greater Atlanta (and a little beyond). Responsibilities
As a service coordinator, you will:
- Collaborate closely with other dispatchers to receive incoming calls from our customers and accurately generate work orders in our operations software.
- Schedule work with our technicians based on the urgency of the request and the availability of our team.
- Generate invoice proofs based on completed time and material work orders, verify all information is correct, and consolidate technician comments into a brief summary. Upon approval, process the invoice and deliver it either through mail or electronically.
- Manage service customer calls, coordinate technician assignments, and track work order completion.
- Handle equipment, special tools, vehicles, and parts needs for the service department.
- Liaise with the service manager and account manager on problem accounts receivables.
- Support other department managers and employees in all facets of the service department.
- Maintain administrative records and controls for prompt and accurate invoicing.
- Resolve customer concerns and complaints efficiently.
- Maximize the efficient use of technician time.
- Perform limited sales support and complete special projects as assigned.
Pay and Benefits
Service coordinators receive a base salary plus quarterly bonuses based on the overall performance of the service department. They receive seven paid holidays and paid time off that escalates with tenure. Maxair pays for health and dental insurance, and you have the opportunity to purchase the same for your spouse and/or family. Service coordinators also have access to Maxair's 401K program.
