Who You Are
Senior Executive Administrator who is a highly skilled and experienced professional that provides advanced administrative support to a senior executive and team. This role requires a proactive, detail-oriented, and highly organized individual capable of managing a broad range of responsibilities in a fast-paced environment. The Senior Executive Administrator will serve as a liaison between the executive and internal/external stakeholders, ensuring smooth operations and effective communication across departments. Implementation of strategies to optimize use of time and manage priorities is key. The role demands a high degree of discretion, professionalism, and the ability to handle complex tasks with minimal supervision.
Executive Support:
o Provides comprehensive administrative support to senior executives, including calendar management, meeting coordination, travel arrangements, and preparing executive communications.
o Anticipates the needs of the executive and prioritize tasks effectively, ensuring the executive's time is optimized.
o Handle confidential information and sensitive materials with utmost discretion.
Communication & Liaison:
o Act as a point of contact for internal and external stakeholders on behalf of the executive.
o Screen and direct phone calls, emails, and other communications, ensuring timely responses and follow-ups.
o Serve as the liaison to the Gondola Board of Directors. Coordinate Board meetings and manage associated logistics
o Prepare and draft correspondence, reports, presentations, and other documents as needed.
Event & Meeting Coordination:
o Organize high-level meetings, conferences, and events, including scheduling, logistics, and materials preparation.
o Attend meetings as required, ensure follow-up on assigned action items.
o Coordinate complex travel itineraries and related logistics, ensuring smooth execution of business trips. Working knowledge of Concur expense/booking platform.
Project Management:
o Assist in the management of key projects and initiatives, ensuring timelines, deadlines, and deliverables are met.
o Provide support in tracking the progress of projects and offering solutions to address any potential issues.
Operational Support:
o Collaborate with other departments to ensure the efficient operation of daily activities.
o Support the executive with special projects, presentations, and other ad hoc tasks.
Strategic Support:
o Partner with the executive to prioritize objectives and ensure alignment with organizational goals.
o Provide assistance with decision-making processes, research, and data analysis when needed.
Education and Experience:
o Bachelor's degree or equivalent professional experience required.
o Minimum of 7-10 years of experience in a senior administrative or executive assistant role, with experience supporting C-suite executives preferred.
o Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), video conferencing tools (Zoom, Teams), and office management software.
o Exceptional organizational and time-management skills with the ability to handle multiple priorities, meet deadlines and operate in an interruption driven environment.
o Strong written and verbal communication skills, including drafting professional documents and correspondence.
o Ability to handle sensitive and confidential information with discretion and professionalism.
o Proactive, resourceful, and adaptable with a strong attention to detail.
o Ability to work independently and in a team environment with minimal supervision.
o Strong interpersonal skills and the ability to interact effectively with individuals at all levels of the organization.
Additional Details
o 3-5 days in person at Palo Alto office. On occasion time at San Francisco office.
o This role may require occasional travel and after-hours availability for meetings or urgent tasks.
o Flexible work arrangements may be offered depending on the nature of the business and position.
