Scope of Position: The Assistant Resident Manager works under the supervision of the Residence Manager/Director and plays a key role in providing clinical rehabilitative services to individual residents. In addition to offering direct services, this position also supports delegated operational and financial responsibilities within the residential program. The Assistant Resident Manager assists the Residence Manager/Director in ensuring the program is prepared for successful OMH (Office of Mental Health) and LITC (Low Income Tax Credit) audits and reviews. This role is vital in maintaining smooth operations, ensuring compliance, and helping foster a supportive environment for residents.
Essential Position Functions:
- Provide individual counseling, services, and crisis intervention for an assigned caseload of residents.
- Be available for 24-hour crisis management, addressing any resident or building issues.
- Ensure the delivery and documentation of client services, including weekly service-linked progress notes, collateral contact notes, monthly summary notes, service/support plans, assessments, and consents. Maintain accurate and up-to-date case records.
- Oversee medication monitoring and ensure accurate logbook documentation.
- Assist the Residence Manager with personnel activities, including recruiting/hiring, shift scheduling, staff meetings, training, performance evaluations, time and attendance (using the Paycom system), disciplinary actions, and addressing labor/management issues. Ensure all staff receive required training such as first aid/CPR, NARCAN, incident reporting, and cultural competency.
- Support the program’s fiscal responsibilities, including inventory management for office and food supplies, handling petty cash, distributing resident funds, managing program fee payment plans, and documenting money management activities.
- Collaborate with the Facilities Department to ensure the safety, maintenance, and upkeep of the building, addressing any repair needs in individual apartments and common areas.
- Assist the Residence Manager in ensuring compliance with admissions, discharges, incident reporting, apartment inspections, and fire drills.
- Attend internal agency meetings and trainings.
- In the absence of the Residence Manager, assume all managerial responsibilities under the direct supervision of the Area Director or Field Coordinator.
- Associate’s degree or High School diploma with at least five years of experience working in a supportive residential program and/or with individuals who have serious mental illness and backgrounds of homelessness.
- Computer literate with proficiency in Microsoft Office and spreadsheets.
- Knowledge of AWARDS system is preferred.
- Strong organizational and planning abilities.
- Ability to effectively interact with all levels of employees, clients, and community contacts.
- Bilingual in Spanish is a plus.
