Position Title:  Document Control Coordinator 

Reports To: Sr. Director Quality and R&D

FLSA Status:  Salaried 

Job Grade:  5 

Pay Range: $65,000- $92,000

Position Overview:
The Document Control Coordinator plays a key role in ensuring compliance with Good Manufacturing Practices (GMPs) and supporting certification and registration processes for Safe Quality Food (SQF) standards. This position involves reviewing specifications, procedures, protocols, and records. The coordinator will also oversee document control programs and compliance initiatives to maintain food safety and quality.


Key Responsibilities:

  • Review production and laboratory records for accuracy and completeness in line with company and regulatory requirements.
  • Maintain and organize control records.
  • Track food safety management system conformance to SQF standards through key performance indicators and trend reporting.
  • Maintain employee training records and conduct internal quality reviews.
  • Collaborate with management to address non-compliance issues.
  • Ensure Team Leaders accurately document and explain production deviations.
  • Develop, update, and administer Standard Operating Procedures (SOPs) for facility operations.
  • Oversee the SOP program, ensuring proper distribution, training verification, and annual documentation compliance.
  • Manage the hold and disposition system based on leadership instructions, verifying proper documentation and execution.
  • Support administrative and quality-related studies as assigned.
  • Adhere to CMI quality and safety policies, report nonconformities, and comply with corporate, regulatory, food safety, and sanitation standards.

Qualifications:

  • High school diploma or equivalent  (post-secondary education in food science, biological science, or a related field preferred).
  • 2 + years of experience in quality systems, food safety, or production in a food manufacturing environment.
  • 2+ years of experience in documenting procedures in a quality or compliance role.
  • Knowledge of GMP, PMO, USDA, OSHA, and HACCP regulatory requirements.
  • Experience with SQF, HACCP, and PCQI certifications is a plus.
  • Proficiency in Microsoft Office Suite and company systems.
  • Strong record-keeping skills, attention to detail, and ability to prioritize tasks independently.
  • Excellent verbal and written communication skills.
  • Ability to work both independently and within a team setting.

Preferred Qualifications:

  • Prior experience with SQF, HACCP, and PCQI certifications.

Physical Requirements:

· Ability to navigate all areas of the facility, including office spaces, warehouse areas, and the exterior perimeter.

· Must wear required personal protective equipment (PPE) as necessary to safely perform job duties.

· Ability to stand, sit, and carry out tasks throughout a full shift, with appropriate meal breaks.

· Physically capable of standing, bending, stooping, kneeling, reaching, twisting, lifting, pushing, pulling, climbing, balancing, and crouching as needed.

· Able to lift and move items weighing up to 50 pounds independently and heavier objects with reasonable accommodations.

· Visual acuity sufficient to perform job duties accurately.

· Capable of assessing weights, judging distances, and working at various heights.


Work Schedule:

Monday-Friday 730am-4pm with the ability to flex schedule to the needs of the business (contact with off shifts) and to support work/life balance. Hybrid arrangements can be considered.
