We’re currently seeking a Project Administrator who will be responsible for financial and administrative processes throughout all phases of construction projects. The Project Administrator will assist the project management and finance teams in managing project setup, contract administration, financial reporting, and project close-out.


Work Location: job site in Kewa Pueblo, NM 


Duties and Responsibilities

  • Organize and maintain project-related documentation, ensuring that all files are properly stored and easily accessible.
  • Ensure that project deliverables are well-documented and track project milestones.
  • Support the Project Manager (PM), Superintendent and Project Engineer with logging and processing daily reports, project correspondence, submittals, meeting minutes, and other records and reports.
  • Administer the project tax exemption documentation process
  • Administer the project OCIP documentation process
  • Assist in administering document control through Procore
  • Assist with tracking and processing invoices and administering the billing process
  • Engage with subcontractors and vendors to keep current on all monthly project documentation
  • Help plan project meetings and document meeting minutes and action items. 
  • Monitor deadlines and follow up with team members to ensure that tasks are completed on time.
  • Ensure all project team members are informed of changes, updates, and important information.
  • Communicate effectively with internal teams and external stakeholders.
  • Assist in the final project review and ensure that all project documentation is finalized and archived.
Requirements

Requirements and Qualifications

  • Associate’s Degree in Business Administration, Project Management or equivalent work experience is required.
  • 1 or more years of experience in a construction Project Administrator role is strongly preferred. 
  • Proficiency in MS Office Suite required.
  • Experience with Bluebeam and Project Management tools such as Procore and MS Project and other CM software is preferred.
  • Knowledge of construction contracts, change orders, and RFI’s preferred.
  • Ability to work independently and as part of a team in a deadline-driven environment.
  • Strong organizational, communication, and problem-solving skills.

Base Salary: $50k-$70k 

 *The provided base salary range is used nationally. The rate offered is compliant with federal/local regulations and may vary by experience, certification/education, market conditions, location, etc.
