he Transaction/ Property Manager will oversee a comprehensive range of commercial real estate activities—from transaction coordination and lease administration to escrow and auction management. The ideal candidate is detail-oriented, tech-savvy, and experienced in using AI-powered platforms to optimize processes. This role requires the ability to work independently, manage multiple projects simultaneously, and maintain the high performance and teamwork standards set by our VP of Real Estate. Performance will be reviewed quarterly by the VP of Real Estate and the upper management team.
Key Responsibilities:
- Manage every stage of commercial real estate transactions—from initial listing to closing—with minimal supervision.
- Serve as the main point of contact for buyers, sellers, cooperating agents, title companies, escrow officers, and clients once a deal is under contract.
- Prepare, review, and process lease agreements, contracts, due diligence documents, and escrow paperwork; ensure compliance with company policies, state regulations, and industry standards.
- Utilize AI-driven CRM systems and Smartsheet to track key deadlines, compliance requirements, and overall deal flow. Leveraging AI to set up automated reminders and notifications for upcoming deadlines, ensuring no compliance or transaction milestone is missed. Integrating data from multiple sources to provide a unified view of all transactions and property management tasks, which helps in making informed decisions quickly and share real time updates with team members and corporate management team members.
- Assign and manage tasks for all pending files in the Transaction Management System, ensuring that agents meet their responsibilities.
- Manage auction-related processes, ensuring smooth and compliant auction operations.
- Oversee lease tracking, rent collections, maintenance requests, and tenant relations.
- Use AI tools and automation platforms to streamline lease tracking, maintenance scheduling, expense management, and property analytics.
- Act as the primary point of contact for tenants and clients, ensuring exceptional customer service and clear communication regarding lease statuses, maintenance, and operational updates.
- Organize repairs, service requests, and vendor contracts to maintain optimal building operations.
- Implement AI-powered platforms for document automation, lease tracking, predictive maintenance, and property performance analytics.
- Leverage AI-driven market analysis tools to support leasing strategies and improve overall property performance.
- Collaborate on developing new tools, ideas, and templates to further streamline operations.
- Maintain a professional appearance, effective communication skills, and a courteous manner in all interactions.
- Regularly return calls, emails, voicemails, and texts within a reasonable timeframe.
- Attend weekly team meetings, provide status updates, and actively contribute to discussions.
- Be flexible and efficient in prioritizing tasks in a fast-paced, interruption-heavy environment.
- Assist the team with administrative tasks to allow focus on prospecting, negotiations, and client communications.
- The ideal candidate must own a smartphone and showcase expertise in using AI tools such as OpenAI, alongside advanced skills in Excel and spreadsheets. Additionally, they should be highly proficient with Google Drive, Google Calendar, and transaction management software to ensure real-time access to vital information and seamless coordination of daily operations.

Requirements:
- Demonstrated experience managing escrow processes and auction-related transactions is essential.
- Must be skilled in using AI-driven tools and automation platforms to streamline real estate operations.
- Provide weekly status updates on all pending contracts and maintain a high standard of client service.
- Prepare, email, and gather signatures for contracts, ensuring all files comply with legal and internal requirements.
- Must promptly return all calls and communications to maintain seamless workflow and client satisfaction.
Qualifications & Skills
- Minimum of three years’ experience in commercial real estate transaction coordination, property management, escrow, auction processes, or related fields.
- Proficient with AI-driven real estate tools, CRMs, lease management platforms, and process automation.
- Excellent organizational skills with a proven ability to manage multiple properties, transactions, and deadlines efficiently.
- Ability to work independently with minimal supervision and manage responsibilities with a high level of accountability.
- Strong analytical skills to troubleshoot operational challenges and streamline processes.
- Excellent verbal and written communication skills for professional interactions with tenants, clients, and stakeholders.
- A real estate license is a plus but not required.
