 We are seeking a highly motivated and resourceful Administrative Assistant with over 3 years of experience to support our dynamic team. This role requires a proactive problem solver who can efficiently coordinate daily operations, improve efficiency, and anticipate organizational needs. The ideal candidate will seamlessly manage multiple priorities, analyze and refine administrative and operational processes, and ensure smooth communication across all departments. Key Responsibilities:

  • Proactively manage and coordinate multiple calendars, optimizing scheduling and minimizing conflicts.
  • Conduct comprehensive reference checks and participate in sourcing when necessary to support the hiring process.
  • Perform I-9 verifications and manage the onboarding experience for new employees with a keen attention to detail.
  • Execute background checks as per company policy, ensuring confidentiality and accuracy.
  • Post jobs on various job boards and handle some aspects of social media marketing.
  • Assist with the implementation of new systems and prioritize thorough documentation of processes and procedures.
  • Exhibit proficiency in written and verbal communication, effectively liaising between various departments and external stakeholders.
  • Maintain a high level of organization, ensuring all documents and records are properly managed, accessible, and compliant with state and federal laws.
  • Serve as the first point of contact for visitors, embodying the values and professionalism of the organization.
  • Keep the front reception area organized and well-maintained to create a positive first impression.
  • Assist with organizing company events, coordinating logistics for successful execution.
  • Multitask efficiently, viewing each task as an integral part of the bigger picture, and adapting strategies accordingly.
  • Assist with the development of innovative solutions and problem-solving tactics to enhance administrative and operational processes.
  • Work remotely on Fridays, with in-person attendance required on all other weekdays. Hours are 8:30 AM to 5:00 PM.
  • Must have the ability to work independently in the office.
  • Coordinate and process work and information for multiple departments, ensuring seamless communication and task management.
  • Operate effectively in both in-person and virtual environments.
  • Bilingual in Spanish is preferred but not required, to better assist a diverse clientele.
Requirements
  • A minimum of 3+ years of experience in a dynamic administrative role.
  • Demonstrated ability to manage complex calendars and scheduling.
  • Experience in conducting reference checks, onboarding, and background checks.
  • Strong written and verbal communication skills.
  • Enthusiastic self-starter with exceptional organizational skills and attention to detail.
  • Ability to multitask and strategize effectively within a fast-paced environment.
  • Forward-thinking, with the ability to understand the big picture and how various tasks and processes interrelate.
  • Proven ability to assist with implementing new systems and ensure comprehensive documentation.
  • Experience in organizing and coordinating company events.
  • Confidentiality is required in handling sensitive information.
  • Strong emotional intelligence to navigate workplace dynamics with empathy and understanding.
  • Background in-home care is a plus but not required.
  • Bilingual in Spanish is a plus, enhancing communication with a broader audience.

Physical Requirements:

  • Ability to lift up to 20 pounds.
  • Ability to sit for long periods of time.
  • Ability to climb steps as needed.
