We are seeking a Development Coordinator—a detail-oriented individual with experience in office administration and data management—to support the VP of Development in all matters related to donor records and communication. This role involves regular interaction with donors, alumni, churches, and other key external groups essential to the College’s mission. Additionally, the Development Associate provides administrative assistance to the VP of Development.
The Advancement coordinator reports directly to the Vice President of Development and works closely with the Executive Assistant to the President.

Responsibilities
- Database Management: Maintain and manage the Raiser’s Edge database, ensuring accurate entry of all gifts and pledges. Process and acknowledge donations within 24 to 48 hours of receipt. Reconcile records with the finance department to ensure accuracy.
- Data Integrity: Regularly review and maintain database hygiene by running duplicate constituent reports and ensuring consistency across all entries.
- Reporting & Analysis: Generate queries and reports from Raiser’s Edge as needed, supporting requests from the VP of Development and the President.
- Donor & Foundation Management: Maintain comprehensive records for foundation, individual, and bequest donors.
- Appeal Coordination: Coordinate the production and mailing of appeal letters, special mailings, and digital appeals to engage donors.
- Event Planning & Execution: Assist with planning and implementing donor and alumni recognition events, cultivation functions, and Presidential events.
- Marketing & Communications: Collaborate with the marketing department to create and distribute email appeals, donor cultivation materials, and solicitation campaigns.
- Content Creation: Develop and send a bi-monthly donor newsletter and a bi-annual alumni newsletter to engage stakeholders.
- Administrative Support: Manage all administrative aspects of the Development Office, including assembling media materials, donor kits, and handling correspondence.
- Donor Research: Conduct research on donors and prospects to support fundraising efforts.
- Other Duties: Perform additional tasks as assigned by the Vice President of Development.
Performance Measures
- Timely Donation Processing: Donations processed and acknowledged within 24 to 48 hours.
- Database Accuracy: High level of accuracy in maintaining donor records and fundraising reports.
- Reporting Efficiency: Timely and precise reporting for internal and external stakeholders.
- Successful Fundraising Appeals: Effective coordination of direct mail and digital marketing appeals.
- File Management: Proper maintenance of donor hard-copy files.
- Newsletter Delivery: Timely production and distribution of bi-monthly donor e-newsletters and bi-annual alumni newsletters.
- Event Execution: Successful planning and implementation of college events.
Requirements
Qualifications
- Education & Experience: Associate’s degree or an equivalent combination of education and experience.
- Donor Relations: Strong understanding of effective donor communication and engagement strategies.

Hours & Compensation
- Schedule: 30 hours per week, with some evening and weekend hours required to support events.
