Position Summary: The Food Pantry Assistant will assist the Food Pantry Director in overseeing the daily operations of the pantry. This includes managing food donations, maintaining accurate records, supervising volunteers, coordinating special events, and ensuring the pantry operates efficiently in compliance with all internal and external regulations.
Job Description:
1. Assist the Director in overseeing day-to-day pantry operations, ensuring smooth workflow and compliance with internal controls.
2. Record the temperature of refrigerators and freezers at the beginning and end of each day on the temperature log to ensure food safety.
3. Adhere to internal controls and compliance of all in-kind and monetary donations.
4. Tally Client Daily Sheets and Run Food Pantry Activity Sheet daily to track pantry operations.
5. Maintain Daily Donation/Receiving Logs, ensuring total poundage is recorded, and input data into Meal Connect and Program Statistics.
6. Generate and run Meal Connect Reports on a weekly basis to monitor pantry activity.
7. Submit monthly program statistics and USDA poundage reports.
8. Ensure accurate data entry and quality control for Meal Connect, Link-to-Feed, Apricot, and TEFAP forms.
9. Oversee and organize special events like Kids Summer Bags, Turkey for Every Table, and Super Bowl of Caring.
10. Coordinate and supervise Community Food Fairs, including recording total client numbers and HFB poundage for Program Statistics
11. Oversee all paper documentation for Food Pantry and ensure data quality control (Meal Connect, Link-to-Feed, Apricot, TEFAP Forms)
12. Communication with Client Assessment Case Manager (Social Services) on TEFAP forms
13. Oversee the training and supervision of frontline volunteers, ensuring they understand their duties and follow pantry procedures.
14. Work cooperatively with volunteers, creating a positive and efficient environment.
15. Collaborate with all departments to maintain smooth operations, ensuring tasks are completed efficiently and in a timely manner.
16. Perform all other duties as assigned.
Qualifications/Skills:
- Proficient in Microsoft Office, including Word, Excel, and Outlook
- Ability to make quick decisions in a fast-paced environment
- Valid Driver’s License required, with the ability to drive a box truck
- Forklift and stock picker certification preferred
- Strong multitasking ability
- Effective verbal and written communication skills
- Excellent organizational skills
- High School Diploma or GED
- Warehouse experience is an asset
