Description

Position Title: EFM RESPITE CARE COORDINATOR (Exceptional Family Member)

Classification: Non-Exempt

Location: Work From Home Office (use this address for calculating mileage - see remote work policy for more information)

ESSENTIAL JOB FUNCTIONS:

Assist in keeping records/ / preparing reports for Child Care Aware of America. 

  1. Review reports with EFM Manager and/or department Director. 
  2. Receive family referrals (A1). Contact families within 3 business days. 
  3. Interview family to compile information on social/medical/educational indicators to make the most professional referral of providers for their family needs. 
  4. Assist in providing information about community events, and refer individuals to public or private agencies or community services for assistance. 
  5. Consult with the manager concerning problems with individual families or providers.
  6. Offer technical assistance to providers - activities, suggestions, requirements, and procedures (monitoring visits).
  7. Assist in maintaining files, logs, and spreadsheets.
  8. Ensure that Childcare Aware of America’s policies and procedures are enforced.
  9. Other areas of support as needed or assigned by Manager.


Process Timesheets/Reports/Tracking/ Scheduling

  1. Verify attendance, hours worked, and pay adjustments for quality assurance.
  2. Follow up on pay/attendance discrepancies as needed.
  3. Assist in processing attendance sheets and sending them to Child Care Aware. 


 Recruiting/Home visits/Monitoring Visits


  1. Interview provider applicants to obtain information on work history, training, education, and job skills. 
  2. Review and evaluate applicant qualifications or eligibility according to Childcare Aware of America and/or Department of Children & Families guidelines.
  3. Conduct reference and background checks on provider applicants. 
  4. Conduct interview questioning with applicants.
  5. Perform searches for qualified candidates according to relevant job criteria, using computer databases, networking, Internet recruiting resources, cold calls, media, community colleges, Navy/DAF resources, and employee referrals, as needed.
  6.  Assist in conducting quarterly monitoring visits with providers 
  7. Provide support and assistance to families and providers as needed.


Case Management/Counselor/Mentor

  1. Counsel providers and families - active listening.
  2. Collect information about families, using interviews, case histories, and observational techniques. 
  3. Consult with other outreach specialists to discuss resources, and techniques, and to share information. 
  4. Check & ensure parent files are current and updated.
  5. Check & ensure provider files are current and updated.
  6. Follow up with parents not utilizing full services, to inquire of how we can assist. Encourage family use of respite care hours.
  7. Mentor families and caregivers. 


Training

  1. Assist in planning, organizing, and implementation of new hire orientation and training for respite providers. 
  2. Train respite care providers in three main content areas before employment: Child Abuse Identification and Reporting, and Dispensing Medications.
  3. Ensure providers continue to meet required bi-annual training hours, including First Aid/CPR/background screenings. All is current and documented.
  4. Assess training needs through surveys, discussions with providers/families..

  7. Proficiency on computer hardware and software programs used by ELC of Duval.


EDUCATION AND EXPERIENCE:

  1. Bachelor’s degree in special education; early childhood; elementary education.  
  2. Master’s preferred.  
  3. Experience in special education; early/elementary education.
  4. Experience in training adult learners. 
  5. Experience in guiding families to resources and through transitions. 
  6. Experience in designing and implementing training activities and materials.
  7. Military experience or interaction preferred.


LICENSES AND CERTIFICATIONS:

       Valid Drivers License; Auto Insurance verification


ENVIRONMENTAL CONDITIONS:

  1. Primarily works in an home office setting, able to sit for an extended time.
  2. Some weekend and evening work for monitoring, training, activities, and events.
  3. All travel is within the state of Florida.
