Description

 Coastal Mechanical Services is seeking a detail-oriented Part-Time to possible future full time Accounts Payable Construction Clerk to support our financial operations. Initial schedule will be Monday, Wednesday and Friday, in person, and could grow to full time. This role will be responsible for processing a high volume of invoices, reconciling purchase orders, and ensuring accurate data entry within our ERP system. The ideal candidate will have experience in accounts payable, strong organizational skills, skillful and accurate data entry and the ability to communicate effectively with vendors and internal teams. 

Requirements

 Key Responsibilities:

  • Process high volumes of invoices with accuracy and efficiency.
  • Reconcile purchase orders and resolve discrepancies with vendors and internal teams.
  • Enter data into the ERP system (Viewpoint experience preferred but not required).
  • Maintain organized and up-to-date records of accounts payable transactions.
  • Assist with vendor communication, including payment inquiries and issue resolution.
  • Utilize Excel for data entry, tracking, and reporting (average proficiency required).
  • Collaborate with internal departments to ensure proper invoice approvals and coding.
  • Support general accounting and administrative functions as needed.

Qualifications:

  • Experience: Previous accounts payable experience required; construction industry experience is a plus.
  • ERP Systems: Experience with an ERP system other than QuickBooks required; familiarity with Viewpoint is a plus.
  • Data Entry: Strong attention to detail and ability to process a high volume of invoices accurately.
  • Purchase Orders: Experience with purchase order reconciliation and knowledge of Florida county sales tax information preferred.
  • Excel Skills: Basic to average proficiency in Microsoft Excel.
  • Communication: Strong verbal and written communication skills to interact with vendors and employees effectively.
  • Organization: Ability to multitask, meet deadlines, and maintain accurate records.

Work Schedule & Compensation:

  • Schedule: Part-time, flexible hours (to be discussed during the interview).
  • Compensation: Competitive hourly rate based on experience.
