The Spravato Patient Treatment Coordinator plays a critical role in coordinating and managing patient care for those undergoing Spravato (esketamine) treatment for depression. This position focuses on ensuring an efficient, compassionate, and compliant treatment experience. The coordinator will serve as the primary liaison between clinics, patients, providers, and insurance representatives, ensuring smooth scheduling, adherence to treatment protocols, and effective communication across stakeholders.


Position Overview: 

The Spravato Coordinator plays a critical role in overseeing the administration of Spravato (esketamine) treatments within a healthcare facility. This position is responsible for ensuring patient safety, regulatory compliance, and the efficient operation of the Spravato treatment program. The Coordinator serves as the primary point of contact for patients, healthcare providers, and regulatory bodies, ensuring that all aspects of the program are effectively managed and executed. 

Key Responsibilities: 

Program Coordination: 

  • Manage the day-to-day operations of the Spravato treatment program, including patient scheduling, intake, and treatment administration. 
  • Ensure adherence to REMS (Risk Evaluation and Mitigation Strategy) guidelines and other applicable regulatory requirements. 
  • Collaborate with multidisciplinary teams, including physicians, nurses, and mental health professionals, to deliver comprehensive care. 
  • Oversee medication ordering and delivery coordination in partnership with local pharmacies, ensuring the timely arrival of Spravato to treatment centers. 

Patient Management: 

  • Conduct thorough patient assessments to determine eligibility for Spravato treatment. 
  • Facilitate the prior authorization process for all Spravato patients across the organization. 
  • Educate patients about the Spravato treatment process, including benefits, risks, and expectations. 
  • Monitor patients during and post-treatment, ensuring safety and documenting any adverse reactions or side effects. 
  • Provide continuous support and follow-up care throughout the treatment journey to optimize patient outcomes. 

Training and Support: 

  • Lead training sessions for healthcare providers on the proper administration of Spravato, including dosing protocols, monitoring procedures, and emergency response. 
  • Serve as a subject matter expert for clinical staff, providing ongoing support and guidance regarding treatment administration. 
  • Maintain current knowledge of Spravato treatment guidelines and share updates with the clinical team. 

Compliance and Documentation: 

  • Ensure all patient records, treatment plans, and progress notes are accurately documented and maintained according to regulatory standards. 
  • Prepare and submit necessary reports to regulatory bodies, including those related to adverse events. 
  • Conduct routine audits of the Spravato program to ensure continuous compliance with legal and regulatory standards. 

Communication and Collaboration: 

  • Act as the primary liaison between patients, healthcare providers, and regulatory agencies. 
  • Coordinate with the billing department to ensure timely and accurate insurance claim processing related to Spravato treatments. 
  • Partner with marketing and patient outreach teams to raise awareness and promote the Spravato program. 

Continuous Improvement: 

  • Assess the effectiveness of the Spravato program and implement improvements to enhance patient care and operational efficiency. 
  • Stay informed of emerging research and advancements in esketamine treatment to continuously enhance service offerings. 
  • Engage in ongoing professional development to expand knowledge and expertise in Spravato administration. 

Qualifications: 

  • Experience: Minimum of 2 years in a clinical setting, preferably within mental health or substance abuse treatment. Experience with Spravato or similar esketamine treatments is a plus. 
  • Skills
  • Strong organizational and project management abilities. 
  • Excellent verbal and written communication skills. 
  • Ability to collaborate effectively with a multidisciplinary healthcare team. 
  • Proficient knowledge of REMS requirements and other relevant regulatory standards. 
  • Familiarity with electronic health record (EHR) systems. 

Working Conditions: 

  • The Spravato Coordinator will work within a clinical environment and may be required to adjust work hours based on patient needs, including evenings and weekends. 
  • The role involves direct patient interaction and requires compassion, empathy, and a commitment to patient-centered care.

Requirements

Education High School Diploma or Equivalent – Required

Completion of a medical assisting program from an accredited institution – preferred

Experience 6 months experience working with insurance (commercial/Medicare, etc) OR Front Office Coordinator in a healthcare facility

Certifications – Preferred • Bachelor’s degree in healthcare, social work, psychology, or a related field (preferred).

  • 2+ years of experience in patient coordination, case management, or a similar role within a healthcare setting.
  • Familiarity with Spravato therapy, mental health treatment processes, and insurance authorization (preferred).
  • Exceptional organizational and time-management skills.
  • Strong interpersonal and communication skills with a compassionate, patient-focused approach.
  • Knowledge of HIPAA regulations and REMS requirements.
  • Proficiency in healthcare software and systems for scheduling and documentation.
