Principal Duties and Responsibilities:

The following duties are typical for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required or assigned.

  • Process organizational daily mail needs. This includes; preparing, sorting, and electronically distributing incoming mail; preparing and processing outgoing mail using LCI’s mail machine and following US Postal Regulations.
  • Process organizational incoming and outgoing deliveries and packages.
  • Back up LCI’s receptionist as needed for phone and fax support.
  • At the direction of the Administrative Services Manager, assist with administrative organizational projects such as but not limited to; data entry, report generation, document creation and survey data compilation, and filing to other LCI divisions.
  • Scan documents and attach to the member’s electronic case file in TruCare.
  • Maintain the confidentiality of client information and protected health information as required by State and Federal regulations, including the Health Information Portability and Accountability (HIPAA) Act of 1996.

Work Relationships and Scope:

Work under the general supervision of the Administrative Services Manager. Make routine clerical decisions regarding daily work and assess incoming calls regarding members and other inquires. Receive calls from and interact with county agencies, the general public, members and state personnel.

Requirements

Knowledge, Skills and Abilities:

  • High school graduate or equivalent; technical school or 2 years of experience in business office operations preferred.  
  • Ability to work effectively with the public, members and staff.
  • Ability to maintain a calm, courteous and professional demeanor at all times. 
  • Experience in use of computers with a preference for Microsoft Office 2007 or later with ability to learn and adapt to multiple computer applications.  
  • Ability to work effectively and efficiently with varying deadlines.  
  • Proficient typing and data entry skills. 
  • Strong oral and written communication skills.  
  • Ability to operate a variety of office equipment including imaging systems.  
  • Ability to maintain efficient filing systems. 
  • Current WI driver’s license, acceptable driving record and proof of adequate insurance required.

Working Conditions:

Work is performed largely in an office environment, with minimal chance for personal injury. Responds to various operational, community, customer or employee situations and fulfills multiple priorities within established deadlines. Work hours are generally during normal business hours.
