Description

 This person reports to the Utilities Division Leader. 


The ideal applicant should have at least three (3) years of progressive experience in an contract administrative role in the construction industry, public utilities, or similar background. The ideal applicant will demonstrate a keen attention to detail and possess the ability to develop various contract documents and technical specifications for specific projects designed in-house as well as identify non-conformance with contracts and other similar documents submitted by contractors and subconsultants. The ideal applicant should possess strong analytical skills to analyze documents, aiming to reduce liability and ensure completeness and correctness. Previous experience in contract management and familiarity with legal requirements and terms of use are also highly desirable.


In addition, the ideal applicant will be responsible for managing all administrative aspects of a construction project, including overseeing submittal and RFI logs, processing pay-applications, maintaining project documentation, coordinating schedules, developing and maintaining meeting minutes, assisting engineers with supervising subcontractors, and ensuring compliance with project requirements, all while working closely with the project manager and the client to keep the project on track and within budget throughout the construction process. This position is responsible for all contract administrative duties acting as a liaison between in-office engineering design team, field inspection staff, contractors, client and other parties including funding agencies and state regulatory agencies. As such, this position requires the astute ability to work and communicate effectively both in writing and verbally with a diverse group of people as a dependable team player. Local travel will also be required.

Requirements
  • Must be detailed oriented, punctual, and work well within a team. 
  • Ability to assess and prioritize multiple tasks, projects, and demands.
  • Strong verbal and written communication skills. 
  • Strong organizational skills.
  • Proficiency in Microsoft Office (Word & Excel). 
  • Ability to assist project managers with printing, binding and other in-office administrative support duties. 
  • Knowledge of construction contracts and legal  documents.
  • Ability to assist project managers with a variety of tasks including advertisement, assembling meeting agenda and minutes, bid tabulation, pay applications and submittal log and tracking. 
  • Excellent organizational and interpersonal skills. 
  • Familiarity with Microsoft Project scheduling is a plus.
